Reporting to the Senior Executive Officer, the Executive Assistant is expected to provide personal assistance and support/driving strategic analysis for members of Senior Management in order to support the day-to-day activities of the Senior Management member and contribute to the realization of the strategic objectives in the designated area.
Job Accountabilities
As the Executive Assistant, your role will involve:
- Supports strategic execution for Senior Management
- Prepare Powerpoint presentations and other relevant materials, such as corporate documentation, to support the business
- Assist in the formulation and execution of specific goals and objectives, including project management and problem management
- Performs moderate and confidential administrative for Senior Management
- Organize and prioritize own assignments to ensure timely and accurate completion of work
- Liaise with clients on company’s behalf, which includes greeting and directing internal and external customers to the appropriate person(s)
- Handle internal customer and employee inquiries, may refer more complex inquiries and/or complaints to appropriate personnel
- Answer and screen phone calls and responds to simple e-mails for Senior Management
- Compose routine and non-routine correspondences from brief notes, oral or written instructions
- Receives incoming mail and forwards to appropriate personnel to handle
- Control, coordinate, and maintains Senior Management’s schedules and coordinates meetings, appointments and other activities. Follow-up work when needed
- Maintains supplies, coordinate travel logistics using the procurement tool
- Prepares expense reports and handles payments for expense items
- Assist with special events planning and related logistics activities as needed
Job Qualifications
To be successful in this role, you must have:
- Bachelor’s Degree with 5 or more years of experience supporting Senior Management team of a company
- Experience in Financial Services industry would be preferred
- Ability to handle confidential information with discretion
- Resourceful with ability to be extremely effective independently
- Solid organisation and time management skills
- Operate with a sense of urgency and accountability with strong attention to details
- Good stakeholder management skills
- Ability to effectively handle multiple priorities with a calm, professional and willing attitude
- Strong communication and interpersonal skills
- Project management skills
- Advanced Microsoft Office skills
- Knowledge of global organisational structure, company operations and organizational procedures
- Knowledge of Compliance protocols
