Scope of Job

• The Client Relations Associate is the first point of contact for clients and visitors in a business centre looking after a variety of customer service, administrative, operational and client relations tasks and responsibilities.
• The Client Relations Associate is primarily responsible for all client support services, the administration of the front desk reception area as well as the daily coordination of the Business Centre operations.
• In large multistorey business centres, typically divided into Hubs, one dedicated Client Relations Associate shall be in charge of each Hub (each Hub including one or multiple floors).

Years of Experience: 3 of 5 years of relevant work experience including experience with a reception desk or other customer-facing jobs in a fast-paced professional office environment.

Key Areas of Responsibility

• Acts as the first point of contact for all client businesses, prospects, guests and visitors providing professional, responsive, engaging and friendly customer service.
• Ensures the office reception is duly attended to during office hours and all office visitors are greeted, welcomed and directed professionally.
• Keeps an accurate daily register of office/floor visitors including clients representatives and employees, visitors and guests, recording personal and contact details and the time in and out.
• Attends to all daily requirements and enquiries of the clients, guests and prospective clients in the most professional, prompt and diligent manner.
• Ensures all telephone calls and enquiries are attended to professionally, including routing of the calls and transmission of messages as necessary.
• Carries out the daily checks as per standard operating procedures, including checking on all client businesses in person, inspecting offices and communal areas, and ensuring the readiness of the show office, for any walk-in prospects and sales tours.
• Ensure the office reception, waiting and communal areas are maintained clean, tidy and presentable with all necessary stationery and materials available.
• Sets the daily duty plan for the office cleaners and office assistants. Supervises and directs work carried out by them,
• Inspect all office areas on a continuous basis throughout the day. Ensures all areas and floors of the centre/Hub are attended to and inspected regularly throughout the day.
• Maintains the office supplies and store inventory, monitoring the minimum supply levels and ordering supplies as required.
