We are seeking a highly organized and knowledgeable female Front Office Admin Coordinator to join our real estate company. The ideal candidate will have a strong understanding of the Dubai real estate market, exceptional administrative skills, and excellent communication abilities. As a Front Office Admin Coordinator, you will play a crucial role in managing the front desk operations, coordinating administrative tasks, and providing support to the real estate team.
Responsibilities:
Greet and welcome clients and visitors with a professional and friendly demeanor, ensuring a positive first impression of the company.
Handle incoming phone calls, emails, and other inquiries promptly and efficiently, providing accurate information and routing them to the appropriate individuals.
Maintaining a clean and organized reception area ensures a tidy and professional workspace.
Develop a deep understanding of the Dubai real estate market, including market trends, property types, pricing, and legal requirements.
Assist clients in understanding and navigating the real estate processes, providing information on available properties, lease agreements, sales transactions, and other related services.
Coordinate appointments and meetings for the real estate team, ensuring efficient scheduling and proper documentation.
Prepare and distribute various documents, including contracts, agreements, and correspondence, accurately and in a timely manner.
Support the real estate team with administrative tasks, such as filing, data entry, and record keeping, ensuring all documentation is organized and easily accessible.
Collaborate with other departments within the organization to ensure smooth workflow and effective communication.
Stay updated on industry developments, changes in regulations, and market trends to provide accurate and relevant information to clients and colleagues.
Qualifications:
Minimum of 1 year of experience as a front office administrator or similar role, preferably in the real estate industry.
In-depth knowledge of the Dubai real estate market, including property types, locations, pricing, legal requirements, and market trends.
Excellent verbal and written communication skills, with the ability to engage with clients, colleagues, and visitors professionally and courteously.
Strong organizational and multitasking abilities, with a keen eye for detail and the capacity to handle multiple priorities simultaneously.
Proficiency in using office software applications, such as MS Office (Word, Excel, PowerPoint), email clients, and other relevant tools.
Ability to work independently as well as part of a team, with a proactive and solution-oriented mindset.
High level of discretion and confidentiality when handling sensitive information and client data.
