• Prepare moderately complex documents using a variety of computer applications such as Microsoft Office. Also responsible for gathering and summarizing data for reports.
• Schedule appointments, make arrangements for meetings and conferences, and organize travel plans following instructions to ensure more senior colleagues or a senior executive make best use of their time.
• Produce, update and provide best practice support on MS documents, databases and other departmental systems to support the work of more senior colleagues. Tasks could include purchasing materials, entering budgetary information, time and expense recording and similar.
• Respond to routine requests using form letters or emails and to more unusual requests by editing templates to create customized responses.
• Create, organize and maintain files containing the correspondence and records of a senior colleague.
• Organize own work schedule in order to get the job done, coordinating with support services and assigning short-term tasks to others if necessary.
• Prepare and edit correspondence, communications, presentations and other documents
• Manage and maintain executives’ schedules, appointments and travel arrangements
• Monitor, screen and distribute incoming communications
• Answer and manage incoming calls
• Arrange and co-ordinate meetings and events
• Managing the day-to-day operations of the Dubai office, office maintenance activities and layout changes.
• Organizing and maintaining files and records for the Evonik Gulf FZE company in coordination with the legal department
• Assist Management Team Members at Evonik Gulf in their travel arrangement and cost reimbursement. Be the center of excellence for the office’s travel reimbursement tool (Circle)
• Coordinate guest visits
• Review operating practices and implement improvements where necessary

• Minimum of 3 years of relevant working experience
• Fluent writing and verbal English language skills
• Bachelor degree or equivalent
• Sound experience and understanding of straightforward procedures or systems.
• Uses clear and effective verbal communications skills with guidance (but not constant supervision) to express ideas, request actions and formulate plans or policies.
• Supports business processes without supervision by understanding and effectively using standard office equipment and standard software packages, while providing technical guidance as needed.
• Works with guidance (but not constant supervision) to plan, organize, prioritize and oversee activities to efficiently meet business objectives.
• Works with guidance (but not constant supervision) to develop, monitor, interpret and understand policies and procedures, while making sure they match organizational strategies and objectives.
• Uses an understanding of numerical concepts to perform mathematical operations such as report analysis with guidance (but not constant supervision).
• Works at an elementary level under supervision to select, deploy and get the best results from the most appropriate office system.
