Job Description
– Greet visitors and clients warmly and offer them refreshments.
– Handle incoming phone calls and emails, directing inquiries to the appropriate departments or individuals.
– Maintain office supplies inventory and place orders as needed.
– Organize and schedule meetings, appointments, and travel arrangements for executives and staff.
– Assist in preparing and editing doents, presentations, and reports as required.
– Handle incoming and outgoing mail, packages, and deliveries.
– Maintain and update office records and databases.
– Coordinate office maintenance and liaise with vendors for repairs and services.
– Support HR activities, such as employee onboarding and maintaining personnel records.
– Manage office budgets and expenses, ensuring adherence to financial guidelines.
– Assist in event planning and coordination for company functions and gatherings.
– Uphold the company’s standards of professionalism, confidentiality, and ethical behavior.
Candidate Requirements
– Proven experience as an Office Administrator or similar administrative role.
– High school diploma or equivalent; additional certification in office management or related field is a plus.
– Proficient computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
– Strong organizational and time management abilities, with excellent attention to detail.
– Excellent written and verbal communication skills.
– Ability to work independently and as part of a team, managing multiple tasks simultaneously.
– Positive attitude, adaptability, and willingness to take initiative.
– Strong problem-solving skills and ability to handle unexpected challenges.
– Previous experience in customer service or receptionist roles is a bonus.
