Description:Provide administrative support to management and employees and maintain records and relevant documents.Duties and responsibilities: Ensure that administrative tasks run smoothly, efficiently and effectively.Organize the manager’s appointments on his behalf, provide callers with the required information, receive messages, draft and print correspondence and perform any other administrative tasks as needed. Receive incoming calls, respond to callers’ inquiries, and transfer communications to the competent officials or the Director of the Financial Affairs Department as needed. Record minutes of the Director’s meetings. Write letters and correspondence as directed by the Sector Manager. Transfer the incoming mail to the competent staff in the event of error or arrange it and give it to the executive director. Prepare and prepare internal memoranda and prepare arrangements for their delivery. Save copies of all correspondence, documents and publications and distribute them in accordance with instructions. Coordinate with the concerned officials to prepare arrangements for travel schedules and all reservations for the manager and management team.
