The purpose of this position is to provide effective, efficient and confidential administrative support to the Chief HR&SS Officer. The role act as main interface to Line Manager business Partners, clients and personal contacts, and assist in Organizing and managing the day today priorities and agenda
Job Description
1. Manages and organizes Line Manager’s diary with high degree of professionalism and confidentiality to ensure effective utilization of Line Manager time.
2. Ensures the Line Manager is updated and prepared with the right information, documents, etc. to participate in both internal and external meetings, Committees and Prepare documentation, presentations for meetings. Prepares reports, executive summaries
3. Coordinate various Committee arrangements within the department and with other Departments and cross departmental teams, issuing agendas, taking and distributing minutes and following up on agreed activities
4. Organizes meetings, telephone conferences, etc. as required. Arranges various events (meetings, conferences etc.) on behalf of the Line Manager
5. Ensures appropriate screening of visitors, calls and correspondence and routes work to the most appropriate unit/person thereby maximizing the LINE MANAGER s time and resources.
6. To seek assurance of completion (or review, if appropriate) of information before having periodic and/or requested reports submitted to Line Manager
7. Ensure the Line Manager office is appropriately stocked for supplies, etc. and source and order stationery and office equipment
8. Typing of Management letters and keeping of important documents as prescribed, manage and review filing and office systems and incoming mail,
9. Provide ad hoc administrative duties and specific project support , Administer Line Manager ’s business travel logistics and arrangements for transportation and hotels., Process invoices and expenses for Line Manager and other Executives as required

Job Type: Temporary
Contract length: 6 months
Salary: AED7,500.00 – AED8,000.00 per month
