Wood is currently looking for a Project Coordinator strengthen our team in Dubai.
Overview / Responsibilities:
Selected candidate will be part of the Project Management team who oversee EPC Contractor(s).
- Liaising with various parties to gather and share relevant information.
- Maintaining records, documentation and confidentiality of information
- Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.
- Organizing, attending and participating in stakeholder meetings.
- Documenting and following up on important actions and decisions from meetings.
- Preparing necessary presentation materials for meetings.
- Undertaking project tasks as required.
- Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Coordinate, facilitate meetings where appropriate and distribute minutes to all project team members.
- Create a project management calendar for fulfilling each goal and objective
- Acts as logistics focal point for nominated project in relation to the movement of personnel. Oversees crew change operations in line with rotations, planned schedules.
- Providing administrative support as needed:
- Responsible for liaising with PMT team and customer teams for site specific inductions
- Responsible for liaising with all other departments to ensure scheduling of personnel travel is in accordance with project requirements.
- Reacts quickly to last minute changes in planned personnel logistics in a calm yet efficient manner.
- Monitoring of employee flight tickets, hotels, medicals, inductions and visas due to expire to ensure validity is kept at all times.
- Maintaining the mobilization tracker and ensuring data are up to date at the highest standard and in line with emergency response procedures.
- Ensuring Audit requirements are met for employee folders
- Manage all administrative processes including the issuing of joining instructions; maintain accurate records and filing.
- Prepares report as required.
- Undertake On-call and emergency response duties as required.
- Regular and effectively communication with the customer teams
- Monitoring and tracking procurement activities of EPC Contractor, flag issues to project management team
Skills / Qualifications:
Skills / Qualifications
- Bachelor’s Degree. Qualification is Project Management is preferred.
- 3-6 years in similar works.
Knowledge, Skills and Experience:
- Understanding of Financial and commercial impact of Logistics transactions
- Excellent customer service skills and expectations of delivery by team.
- Ability to work effectively both independently and as part of a team.
- Experience using computers for a variety of tasks.
- Competency in Microsoft applications including Word, Excel, PowerPoint and Outlook.
- Knowledge file management, transcription, and other administrative procedures.
- Ability to work on tight deadlines.
- Understanding of procurement and logistics and previous experience in the same field is a plus
