Core duties and responsibilities:Service Delivery Liaise with Managers and others to set up internal and external meetings, which may also on occasion be time sensitive.Interact with the appropriate Head of Department on key issues related to the MD & CEOs office and follow up the outcomes/decisions.Ensure the MD and CEOs office is briefed on all meetings, collating relevant papers and materials and undertake research to support meetings and allowing any required preparation time.Assist in the preparation of business materials such as company documents.Prioritise and follow up on multiple projects simultaneously and follow up on actions as required.Act as a trouble shooter and facilitator on administrative issues or concerns related MD and CEOs and other CEOs and the Executives.Assist in organising / scheduling Board meetings for the MD and CEOs office and other CEOs.Managing and reserving the office meeting rooms for all the requests.Draft any correspondence on request and incl. Administrative, Investigation resolutions and other circulations issued by the MD and CEOs of Fintx. Process and Operations · Produce, draft and proofread correspondence as required within Fintx office.· Effectively manage the MD and CEO of Fintx calendar and other CEOs calendar.· Prepare and distribute reports, correspondence and presentations to the stakeholder.· Review summarises miscellaneous reports and documents, prepare background documents and outgoing mail as necessary.· Ensure all actions from committees, board meetings and business meetings and relevant correspondence are recorded, actioned and reported. · Develop an appropriate filing system either electronic or hard copy ensuring confidentiality and suitable access.Provide support to committees and working parties such as the Board of Directors etc.Convene Board meetings, producing agendas, taking minutes, conveying decisions of the Board to the concerned etc.Ensure the smooth functioning of the Board, other committee and internal meetings, including the handling of correspondence before and after Board meetings.Provide secretarial support to Sr. Team when required – register for events, local visits/transport requests, upload docs on portals.Maintain records in an effective manner.Customer FocusInteract with both internal and external executives and their assistants, in the coordination of a variety of business and commercial meetings.Act as a liaison with other departments on behalf of the MD and CEO of Fintx.Handle problems and non-routine situations by determining the approach of action to take and interpret guidelines and department procedures to support employee or customer needs.
