ABOUT THE ROLEUnique Properties is looking to hire a Personal Assistant of our CEO. The ideal candidate is a self-motivated and energetic individual with a go-to-attitude. Previous experience as a Personal Assistant is absolutely mandatory. DUTIES & RESPONSIBILITIES Perform secretarial and administrative duties for the CEO and ocassionally for other top management representativesIn charge of coordinating with building management for terms, agreements and renewals of office space rent, parking, storage spaces and other company related propertiesOrder office supplies and replacements, manage mail and courier servicesCover reception if needed during lunch breakFully manage CEO’s calendar and meetings (i.e., scheduling appointments, managing events, sending reminders, taking minutes of meetings when needed)Book meeting rooms for external guests and arrange refreshments if requiredType, format, and edit reports, documents, and presentationsManage databases and keep organized recordsIn charge of all travel arrangements for the CEO and his family members (i.e., visa applications, flights and hotel bookings, car rentals, etc.)Manage internal and external correspondence on behalf of the CEO, liaise with internal departments and answer callsTake care of all other necessary personal requests from the CEO and family membersManage all family affairs such as children’s activities, birthday parties, events, schools, etc.Assist family members with additional requests (e.g., utility payments, house rentals, etc.)Manage household errands (i.e., house assistants, bills, drivers’ schedule, etc.)In charge of personal expenses, investments and bank accounts opening applicationsHandle personal properties (i.e., rentals, resale, snagging, maintenance, payment installment reminders, service charges, cheques, NOC applications)Monitor car insurances, renewals, SALIK, fines and monitoring for the same in case a vehicle has been borrowed by other agentsSales Admin Tasks (e.g., review of developer agreements, contracts, property management, etc.)Ensure any other PA-related duties are being executedREQUIREMENTSBachelor’s degree or equivalentFluent in EnglishPrevious experience as a Personal Assistant to Top Management is mandatory, ideally in the real estate industryAdministrative/Secretarial background in Real Estate is highly preferredPrevious experience in making travel arrangement and calendar trackingStrong computer skills, with advanced Microsoft Excel and Word expertiseApproachable and enthusiastic attitudeExcellent interpersonal, organization and communication skillsStrong analytical skills with high attention to detail required, with the ability to formulate solutions and resolve issues in a timely mannerAbility to multitask between several projects and meet deadlinesAbility to work independently and within a team to build relationships and interact effectively with business partners
