We are seeking a highly organized and detail-oriented Events Coordinator to join our growing team. In this dynamic role, you will be the single point of contact for all event coordination needs, from initial planning to post-event follow-up. You will manage two key areas: Company-wide Events and Sales Team Roadshow Events. Responsibilities: Event Management • Partner with stakeholders to understand event goals, target audience, and budget for both company-wide events and sales team roadshows. • Develop and manage comprehensive event plans for all events. • Assist with event planning and budgeting for both company-wide events and roadshows. • Manage event timelines and ensure all deadlines are met for all events. Vendor Management • Research, solicit quotes, and negotiate contracts with external vendors for venues, catering, audio/visual equipment, on-site branding, and other event services specific to both company-wide events and roadshows. • Oversee vendor communication and ensure adherence to all agreements for all events. • Manage vendor logistics on the day of the event for all events. Internal Collaboration • Work closely with internal departments, including branding, video production, HR, and sales, to ensure all aspects of the event align with company goals and brand identity for both company-wide events and roadshows. • Facilitate communication and information exchange between departments for all events. • Manage and schedule the calendars of photographers and videographers, coordinating their assignments with the sales team for roadshows and other relevant departments for company-wide events. Event Logistics • Oversee the creation and distribution of event materials specific to both company-wide events and roadshows. • Coordinate logistics for on-site set-up and breakdown for both company-wide events and roadshows. • Conduct pre-event inspections and troubleshoot any potential issues for all events. Event Execution & Follow-up • Manage the event day, ensuring everything runs smoothly according to the plan for both company-wide events and roadshows. • Address any unexpected challenges or last-minute changes during all events. • Conduct post-event evaluations and gather feedback for future improvements for all events. Qualifications • Bachelor’s degree in Event Management, Marketing, Communications, or a related field (preferred). • Minimum 2 years of experience in event coordination or a similar role. • Strong project management skills with the ability to handle multiple tasks simultaneously. • Excellent communication, interpersonal, and negotiation skills. • Detail-oriented and organized with a strong sense of follow-through. • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). • Ability to work independently and as part of a team. • Excellent time management and prioritization skills. • Experience working with travel logistics for events.
