The document controller is responsible for managing and controlling the flow of documents within the organization. They will ensure that all documents are accurately classified, stored, and distributed to authorized individuals. The document controller will also maintain an efficient document management system and provide support in retrieving and archiving documents as needed.ResponsibilitiesEstablish and maintain an effective document control system.Classify and label documents based on categories and confidentiality levels.Receive and register all incoming and outgoing documents, ensuring proper documentation and filing.Distribute documents to relevant departments or individuals as per specified procedures.Ensure document version control and prevent unauthorized access or changes.Assist in retrieving, indexing, and archiving documents for easy retrieval.Coordinate with external parties for document submission and compliance.Maintain confidentiality and integrity of sensitive documents.Train employees on document control procedures and best practices.Conduct regular audits to ensure compliance with document control standards.
Requirements
High school diploma or equivalent; additional certification in records management is a plus.Proven experience as a document controller or in a similar role.Proficiency in document management software and MS Office applications.Excellent organizational and time management skills.Attention to detail and strong communication skills.
