• Non-engineering contribution manages documentation to ensure proper version control in the document management system. Ensures that documentation is maintained in compliance with the company’s/project’s procedures, including format, receipt, registration, number, filing, recovery and the issue of documents. Assists in the preparation of the project document list, periodically updates and issues the document list as well as preparing and updating progress reports as per the schedule.
• Planning and control sets up the documentation management system and document controls process in conjunction with the project team.
• Project execution and control codes issued documents, ensures that reviews, numbering, distribution, filing and registration are in compliance with procedures. Monitors the progress of project documentation, updates the receipt and document distribution information register. Communicates deadlines to the project team for document delivery. Prepares O&M (Operations & Maintenance) manuals, MRB (Manufacturing Record Book) and maintains all project documents in accordance with the index defined by the project team. Organizes final documents and maintains them in the internal or external archive. Monitors and reports actual versus planned time for document management work packages.
• Stakeholder relations effectively communicates and provides relevant information to stakeholders and customers.
• Leadership and knowledge sharing supports to colleagues with advice and guidance on documentation control issues. Provides coaching and guidance to colleagues.
• Process and tools contributes to process enhancements related to document management and applies the document management system efficiently

Example of Documentation tasks:

1. Preparation of cover pages, index page for project order documents for datasheets, manuals, GADs, ITPs, technical procedures etc.

2. Preparation of transmittals and submission of documentation to customers as per requirements (either through e-mails or in customer’s portals) as per project requirements.

3. Revision of project documentation for minor cosmetic (non-engineering) comments, preparation of CRS (comment resolution sheet) as per project manager’s inputs.

4. Follow ups with customers for approval of submitted documents in order to have manufacturing clearances.

5. Preparation of MRB (soft copies)- compiling all approved documents and submitting to customer

6. Preparation of MRB (hard copies, CDs)- compiling all approved documents and arrange to submit to customer (by courier)

7. Storage of all approved and commented documentation on document management network and to do folder management.

8. Assist and preparation of shipping document in customer formats, preparation of shipping documents to get SRN (Shipping Release Note)

9. Warranty handling returns shipping documents preparation in collaboration with logistics in charge & co-ordination with factories & suppliers

10. SPIR form preparation as per project manager’s inputs & approvals and submit to customer (either through e-mails or in customer’s portals)

11. Folder management for all documentation related to the projects (logistics, project, invoicing documents and files, etc.)

Job Types: Full-time, Permanent

Salary: AED3,000.00 – AED3,500.00 per month
