Job PurposeThe executive secretary will support the Business Head in managing the daily activities, facilitating communication, and ensuring the smooth operation of the department.Key ResponsibilitiesManage the business head’s calendar, schedule appointments, and coordinate meetings.Handle correspondence, including emails, letters, and phone calls, on behalf of the business head.Prepare agendas, take minutes, and organize materials for meetings.Arrange travel, accommodations, and itineraries for business trips.Assist in preparing presentations, reports, and other documents.Maintain filing systems and ensure information is organized and easily accessible.Serve as the primary point of contact for internal and external stakeholders, including clients, partners, and staff.Liaise with other departments, teams, and external parties to facilitate collaboration and communication.Minimum Qualifications: Bachelor’s degree or equivalent qualification may be preferred.Minimum Experience: 5-10 yearsSkills Excellent organizational and time management skills.Strong communication and interpersonal abilities.Proficiency in office software and tools, including Microsoft Office Suite and calendar management software.Discretion and integrity when handling confidential information.Previous experience in a similar role or relevant administrative experience.
