What is the role?

We are looking for a self-starting professional to join our procurement team. The ideal candidate has the ability to autonomously manage and streamline our procurement process.

What You’ll Do:

1. Purchase Order Processing:

• Assist in the preparation and processing of purchase orders, ensuring accuracy and completeness.
• Coordinate with internal stakeholders to gather purchase requirements and specifications.
• Collaborate with suppliers to obtain quotations, negotiate pricing, and confirm order details.

2. Supplier Management:

• Maintain supplier database, including contact information, pricing agreements, and performance records.
• Assist in the evaluation of supplier capabilities, track supplier performance, and address any issues or concerns.
• Support the procurement team in building and maintaining strong relationships with suppliers.

3. Inventory Management:

• Receive, inspect, and record incoming materials, ensuring accuracy and completeness.
• Monitor and maintain inventory levels to ensure availability of materials as per operational requirements.
• Assist in conducting regular stock checks, reconciling discrepancies, and reporting on inventory status.
• Coordinate with storekeepers and warehouse personnel to facilitate timely material receipt and storage.

4. Documentation and Reporting:

• Maintain accurate and up-to-date procurement records, including purchase orders, delivery notes, and invoices.
• Assist in preparing periodic reports on procurement activities, such as spending analysis and supplier performance.
• Collaborate with finance and accounting teams to ensure accurate and timely processing of invoices and payments.

5. Process Improvement:

• Identify opportunities for process improvement within the procurement function.
• Assist in implementing streamlined processes and systems to enhance efficiency and reduce costs.
• Contribute ideas and suggestions to enhance procurement practices and optimize resource utilization.

6. Compliance and Ethics:

• Ensure compliance with organizational policies, procurement guidelines, and legal/regulatory requirements.
• Adhere to ethical standards and promote transparency, fairness, and integrity in procurement activities.
• Support the procurement team in conducting supplier due diligence and risk assessments.

Who You Might Be:

• Bachelor’s degree in Business Administration, Supply Chain Management or related field
• Minimum of 3 years of experience in purchasing, preferably in the hospitality industry and within UAE
• Strong negotiation, communication, and analytical skills
• Knowledge of procurement regulations and ethical sourcing practices
• Proficient in Microsoft Office Suite and procurement software
• Holder of a UAE Driving License
• Ability to work well in a fast-paced environment and manage multiple projects simultaneously
