The Mission:
The Executive Assistant primarily supports the (Associate) Partners of Siemens Advanta Middle East across a broad set of executive responsibilities and administrative tasks.
What are my responsibilities?
- Proactively handle (Associate) Partner’s calendar, expenses, complex travel arrangements, visa coordination (travel and residency) as per Siemens corporate policies
- Support ADV Business Development and other administrative tasks as needed, e.g., planning and coordination of marketing activities and business conferences
- Autonomously handle recruiting process for new team members, incl. onboarding/ integration of new hires as appropriate
- Develop and leverage relationships within and across organizational units and external clients to support business operations and office development of ADV in the Middle East
- Autonomously manage in- and outbound correspondence and monitor all information flows, including maintaining paper and electronic files, e.g., project contracts, as required
- Proactively contribute to the local office development supporting hands-on on daily requirements – as needed – beyond the detailed specification outlined in this opening
- Maintain confidentiality of all sensitive or proprietary information
What do I need to excel in this role?

- Very well-developed team player working style. ADV, especially in the Middle East, is a relatively new, but fast-growing team. A successful integration and fun at work requires self-motivation and entrepreneurial passion in building something new and unconventional. That sometimes also requires availability outside of standard working hours
- Willingness to navigate in ambiguity requiring to creatively think about potential approaches to solutions instead of only following existing standard processes and working tools (Siemens incorporated largely a “self-service” working culture)
- Fluent in English (writing and verbal) and at least one additional language
- Excellent MS Office knowledge, in particular Outlook, Excel, and Word
- Bachelor’s degree or equivalent qualification from reputable university or College
- Preferably 5+ years’ work experience in similar function ideally in a similar organization (technology and/or consulting firm)
- General knowledge about Siemens and Consulting Services Industry is highly preferred
- Flexibility in terms of working location (home office preferably Dubai) and working hours as needed
