Main Accountabilities:
Answer, screen and forward any incoming phone calls while providing basic information when needed
Provide office support services in order to ensure efficiency and effectiveness within the School
Provide general support to visitors.
Receive and sort daily mail/deliveries/couriers
Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
Update appointment calendars and schedule meetings/appointments
Assist in preparation of meetings, conferences and conference telephone calls
Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Provide word-processing and secretarial support
Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories.
Perform other clerical receptionist duties such as filing, photocopying, collating, faxing, Travel arrangements.
Drive the After School Activities (ASA) revenue & collections for both schools.
Drafting commercial contracts in consultation with the Head of Finance & negotiating contractual clauses and respond to contractual queries.
Liaising with After School Activities providers.
Handling events & school trips & camps both onsite & offsite.
Prepare MIS reports
Documentation & filing of all documents not limited to the signed contract etc.
Conduct due diligence of the service providers & ensure collection of all documents stated in the contract.
Job specification:
Bachelor’s degree in any discipline.
Native English speakers with good written & oral communication skills.
The candidate must have excellent customer service, negotiation skills & a flair for numbers.
Knowledge of commercial contracting will be an advantage
Functional computer skills are required.
