Job Summary
Supporting a team of professionals, the individual will be required to demonstrate initiative and work as an enthusiastic team member in accordance with the organisation’s office routines and procedures, keeping in mind the overall business objectives.
Job Responsibilities
Provide internal staff with professional administrative support including taking accurate and properly detailed messages
As the first point of contact for most clients, answer telephone enquiries in an efficient, friendly and professional manner
Ensure company phone directory and internal extension numbers is kept up to date and issued to all relevant employees
Collect and distribute daily mail
Take responsibility for ordering necessary office supplies
Ensure the front office and reception is clean and tidy at all times
Maintain a well groomed and business like appearance
May also provide administrative and secretarial support to Senior Management on request
Greeting visitors, offering them refreshments and directing them to the right person
Record and handle all incoming and outgoing couriers
Answering calls and taking messages
Screening phone calls
Maintain the meeting room diary
Assist with booking travel and making hotel arrangements where necessary
Job Requirements
Strong administration skills – organised, thorough, systems orientated with meticulous attention to detail
Ability to communicate at all levels
Ability to use Microsoft Office including Word, Excel, Access and PowerPoint
The ability to create a positive, everlasting impression with the most professional, courteous and expedient manner and to continually strive for superior client service
Proactive, punctual and reliable
Well presented and well spoken
Vibrant nature
Needs to be able to manage competing priorities and may need to manage pressure that results from this
