Job PurposeCoordinates the daily affairs of the logistical needs in event planning meeting, onboarding and team communication. Manages the Lab overhead logistics including but not limited to utility management, stationary, equipment, etc…ResponsibilitiesMonitors office expenditures and handle all office contracts (services, etc…)Supports Digital Lab management in scheduling meetings/appointments.Organizes and maintains office files in order to process routine records and forms.Organizes and coordinate office operations and procedures.Attends to general issues and fixing simple problems while contacting relevant personnel for more complex ones.Assists, guides or delegates tasks to appropriate team members as required by the Group Digital Lab head.Manages and Monitors office resources including petty cash, stationery, equipment etc…On boards New and transferred team members to Group Digital Lab including user id creation, seat placement, device readiness etc…Assists the Digital Lab management with admin, logistics and other appropriate business requirements.Coordinates internal and external communication related to Group Digital Lab with other internal teams and external vendors, consultants.Coordinates Floor related Designs and arrangement with branding, engineering and concerned departments.Manages Access to the floor and systematizes with the security and control room team for safety and confidential Group Digital Lab related issue.Follows up pending items with appropriate staff for ensuring the timely completion of assignments.Perform any other job related duties as assigned by the Digital Lab managementAccountabilitiesFollows office workflow procedures to ensure maximum efficiency.Supports in championing the culture of the team by arranging for appropriate celebrations, recognitions and team building activities.Exhibits communication skills to maintain harmonious atmosphere and to present appropriate image to visitors and callers; application of discretion and tact in dealing with people and situations.Maintains confidentiality in work in order to ensure that information is disclosed to authorize personnel only in an appropriate manner.QualificationsBachelor’s degree.5 (or more) years in relevant experience.Proficient in Microsoft Office suite especially in Excel and other data management programs.Experience in managing multiple priorities, administrative coordination, and logistics.Well-organized, detail-oriented, ability to multi-task with great follow-up skills.Strong written and verbal communication skills especially in Arabic (AR).Good language skills in English; including grammar, punctuation and spelling .Relevant SkillsAbility to take shorthand.great communicator, both written and verbal.Strong interpersonal skills, soft skills included.
