Our client, a business management consultancy firm is looking to hire a Administrative Assistant for their office based in JLT, Dubai.
Job Responsibilities:
Communication and coordination with the Corporate Service Manager (CSM) or Corporate Service Executive (CSE) to ensure each task is completed properly with a high degree of client satisfaction.
Processing company formation (mainland, free zone, offshore companies) which includes but not limited to completing post-licensing procedures, registration with various 3rd Parties, Power of Attorney, portal set- up, legalization, translation, HR signatory, Company Coordinator, Establishment Card & E-channel Registrations.
Processing company renewals, and anything related to the renewal of the company as required by the UAE authorities.
Processing renewals of any document related to individual or corporate clients, and all administrative tasks including but not limited to Chamber of Commerce, Customs, Municipality, Dubai Police, Road Transport Authority, NOC from other Authorities for Renewal of Company.
Processing licensing/renewal of offshore companies, any certificate requests, offshore amendments, and any existing/new offshore company services.
Processing UAE Visa (Residence, Investor, Employee, Dependent, Property visa, Visa cancellation, Visa renewal, New Visa and any other new type of UAE visas).
Processing all tasks related to clients acquiring Second Citizenship and all UAE Immigration tasks.
Processing and coordinating all administrative tasks including but not limited to UAE identity cards and applications, Company and Employee Insurance, COVID Vaccination cards, updating relevant personal & UAE identity documents in relevant applications, assisting with registering the company in required UAE authority platforms, processing various Employment/ Administrative/ Immigration/ Investor related tasks in relevant UAE authority platforms.
Processing personal and corporate bank accounts opening, bank accounts closure and any other banking- related services that are provided by MBC.
Processing any kind of amendments (such as Transfer of Shares, Change of Manager and Officeholders, Change of Activity, Upgrade/Downgrade of Property, Office Sharing, Increase/Decrease of Shares, etc.).
Processing Liquidation/De-registration/Re-instating of companies.
Processing of any attestation of documents (in embassies/consulates, MOFA, Dubai court, etc.) and Legalization of Corporate Documents (MOFA, Consulates/Embassy)
Processing and coordinating all administrative tasks including but not limited to PO Box Registration and Renewal, Dubai Court Services which are POA for existing company, Registration of Last Will and Testament, Signature Verification, etc., Ultimate Beneficial Owner (UBO Update), Parent Company Officers Update, goAML registration & update, and assist with translation of documents whenever required.
Coordination with the PROs for all tasks.
Ensures that any information and documentation recorded in the Project Management System PMS (company’s CRM software) for all new updates of each existing/new client are correct and completely uploaded in the Shared Folder and PMS with proper coordination with Database Controller.
Proactively obtaining updated and current-dated applicable information about news, fees, procedures, and requirements of all authorities and partners which the company is working along with for all services.
Cross-check information about prices/procedures/requirements/time-frame/change/updates in any regulations in the proposals/emails before sending to CSM/CSE or clients
Assist the CSM/CSE for any tasks related to My Business Consulting DMCC.
Takeover of communication with clients directly after the CSM has handed it over to the Operations – which includes but not limited to – collection and verification of documents and information required for the task, updating clients for any ongoing tasks until their completion.
Attendance of meetings with the clients whenever/if it is required.
Ensure client satisfaction on all paid services, without any delays, mistakes, and miscommunications.
Proper coordination with the Finance department for any ongoing Tasks, Quotation/invoice requests, Statement of Account requests, and ensure that all amounts requested are correct and relevant to the services to be rendered to the client. Prioritize to maintain low-cost for all actions and ensure fewer expenses in any way whatsoever. Proper settlement of funds received from the Finance Department.
Cooperation and maintaining business relationships with all free zone authorities, banks, embassies/consulates, MOFA, Immigration, typing centers and any other government authorities, partners, and other 3rd parties that are required to complete the services for the clients. Promote a healthy business atmosphere between all company suppliers.
Keep up to date with any relevant information relating to the job description.
Daily update of Tasks in PMS. Prepare regular reports of progress of Tasks in progress and send to the direct manager on regular basis.
Show initiation and actively take actions to promote MBC services to existing, new or potential clients.
Provide the Marketing department with relevant information/updates/news, adhering to the Media policy of the company and promoting the company on all social media.
Cooperating and supporting any team member of My Business Consulting DMCC (whenever it is required) to ensure the goals of the company and clients’ needs are met.
Promote highly positive and efficient teamwork, coordination and cooperation with the whole team of My Business Consulting DMCC.

Any Bachelor’s Degree

1 – 3 years in relevant field
Russian speaker preferred
