- MAIN RESPONSIBILITIES:
- To provide quality line management to all Team Members within Rooms Division.
- To undertake regular evaluations within the various departments to ensure that consistency of standards and customer care is met at all times.
- To undertake regular bedroom checks to monitor standards and to plan on-going maintenance programmes.
- To continuously review and implement the operational arrangements in the hotel as set by the brand and by the hotel management.
- To facilitate and communicate strategy to all hotel staff and guests with the help of controls and KPIs to maximize efficiency levels.
- To meet and greet VIP guests on a regular basis.
- To deal with any guest complaints efficiently and professionally to the laid down standards
- To promote positive working relationships with all staff and management in the Rooms department.
- To ensure that the Rooms departments are fully integrated with the rest of the Hotel and working as a team.
- To hold regular communications with all Rooms Heads of Department and staff to ensure a two ways communication flow.
- Maintain and facilitate the contact with the group leaders and conference organizers
- To hold weekly housekeeping/maintenance meetings to facilitate daily activities and improvements.
- To maintain and promote friendly working relationships with suppliers ensuring maximum profitability of the agreements.
- To initiate and implement changes to operational standards with the relevant management.
- To ensure that all staff / management are appraised at least annually and set realistic and tangible objectives, including both personal and departmental.
- In conjunction with the Human Resources department, to select, recruit and induct all new staff within the Rooms departments.
- To be involved with the identification of training needs within the department and planning of training priorities. To be fully committed to providing the highest levels of Customer Care to internal and external clients/guests at all times.
- To be fully involved with the Rooms Trainee programme and their development ensuring that their progress is ongoing and monitored at all times. To be familiar with their career expectations and to plan their career progression within the Rooms Department at the Hotel.
- To attend Rooms training meetings to ensure training is planned and directed towards the department’s needs.
- To ensure that communication within the Rooms Department is to a high standard, two ways and on a regular basis at least including:
- Daily business briefing
- Monthly Head of Department meeting
- Heads of Department hold regular, minuted staff meetings
- To ensure that operating equipment is well controlled and that departments are able to operate to the standard required.
- To liaise regularly with all other departments in the hotel where necessary.
- FINANCIAL
- To ensure that the Rooms Departments are operated on an efficient and commercial basis and that all efforts are made to improve financial efficiency, where possible.
- To ensure that all costs are contained to within the budget, in proportion to sales.
- In conjunction with the Sales Team, to initiate any sales activity, which will lead to increase in occupancy, Average Room Rate and yield. To be actively involved in all Rooms promotions, internally and externally and ensure good communication within the Hotel.
- To ensure that all financial control systems are carried out and checked at all times.
- To ensure that all the Heads of Departments are aware and constantly updated on their current and cumulative results, as compared with budget and previous years and where possible with Industry trends.
- To be responsible for the compilation on time of departmental forecasts/budgets, ensuring set targets/guidelines are achieved.
- To be involved in short and long term financial planning with regard to personnel budget, other expenses and capital expenditures.
- To control all relevant purchasing/ expenses to the agreed budgets ensuring that the Delegation of Authority is adhered to at all times.
- To closely control all payroll spend including the use of agency and casual staff and to monitor overtime expenditure ensuring that these resources are fully utilised and accounted for, maintaining all payroll ratios to sales.
- To be fully conversant with all Hotel accounting procedures including the use of all computer systems, their capabilities being fully exhausted and ensure compliance of the above at all times.
- Sales and Marketing:
- To be involved with the planning of sales activities within the Hotel to promote and increase sales whilst maintaining profitability at all times within the agreed budgets.
- To ensure that the Rooms Departments are fully aware and briefed of all promotional activity within the Food and Beverage outlets.
- To ensure that all sales promotions are analysed and these results discussed with the relevant personnel.
- To undertake entertaining and promotional work with key clients as requested.
- To ensure that all Rooms staff are sales led and familiar with the hotel product and facilities they are selling.
- Health and Safety, Fire and Security
- To be overall responsible for all aspects of Health and Safety within the operations. To actively promote a safe working environment on a day to day basis.
- To attend all statutory training as and when required and ensure operations are made aware and comply with any changes to legislation that may occur. To be represented on the Health & Safety Committee, and be aware of all relevant legislation.
- To ensure that all staff and Management are trained and comply with the standards in personal hygiene and Appearance and these are at all times consistent with the hotel’s set standards.
- To ensure that all staff are fully trained and comply with local regulations and that due diligence is displayed with regard to work practices.
- To ensure that Risk Assessments are carried out for all areas of activity and that the work practices carried out are monitored and checked.
- General:
- To undertake Duty Management shifts, as required.
- To be fully conversant with the Hotel’s Code of Conduct and its implementation.
- To attend the Executive Committee Meeting and report /inform /educate its members on Rooms matters pertaining.
- To undertake any other reasonable request as required.
ADDITIONAL RESPONSIBILITIES:
- To attend all departmental meetings, briefings & internal or external training sessions as required.
- To act wholeheartedly in the interests of the Company at all times & not to perform, arrange or carry out any work or activity which could be considered to be in competition with or affect in any way the company interests or be detrimental or damaging to its public image.
- To ensure maximum efficiency, employees are engaged on the basis that they must be prepared to undertake reasonable duties other than those for which they have been specifically engaged.
- All employees are expected to co-operate with the management, to ensure the successful application of the Company’s Equal Opportunities & Harassment policies.
- To carry out any reasonable & lawful direct instruction given by a Head of Department / Assistant / Manager or Director during working hours.
