Job Purpose Travel PA’s responsibilities include Managing calendars Mitigating calendar conflicts Organizing travel detailsTraveling on the Company jet with the principal, monitoring emails, prioritizing tasks, and preparing reports. To be successful in this role, you should be well-organized, have great time management skills and be able to prioritize, multi-task and complete a variety of projects in a fast-paced environment while having the ability and willingness to work overtime on projects and tasks as required and act without guidance while protecting the Principal’s business interests. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to the Chairman (the ‘Principal’). Reports directly to the Chairman Internal Daily contact with Senior Managers and Directors to consult on strategic direction Frequent contact with employees from all departments/companies Maintain positive working relationships with executives, senior managers and employees at all levels. Frequent contact with external agencies, suppliers, clients, DMCC, Legal representatives and other companies. Act as the Chairman Representative at meetings/events. Coordination with Company jet pilots/cabin crew/hotels/ external agencies whenever required for transportation services and to travel to various countries as per the Principal’s business schedule. Consult and collaborate with top executives on strategic planning; and serve as a link between Chairman and Managers/suppliers/guests. Works independently with minimal supervision and is expected to handle the complex problems and issues relating to the role. Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information from the Chairman.Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems. At least 7-10+ years of Personal Assistant experience reporting directly to upper Management/ CEOs /Shareholders/HNWIs Experience in handling confidential matters, overseeing budgets and checking/preparing expense reports. Experience developing internal processes and filing systems. Experience working in a multicultural Team Experience working in the Oil & Gas industry Excellent and active professional network; exposure to the Middle East cultural business practices and savvy of the GCC customs.
