We are looking for a project assistant to provide administrative support for the Energy Services Manager and project manager, ensuring all administration tasks related to project execution are always maintained at the highest standards.

KEY ACCOUNTABILITIES:

Timely and accurate preparation of project related information

Timely and accurate preparation of project reports

Maintain real time, accurate data on AX Dynamics

Timely and accurate preparation of Energy Services related reports.

Arranging of service technician on time to sites

JOB CONTEXT:

The position is responsible to:

• Maintain and monitor project plans, project schedules, work hours, budgets and expenditures.
• Organize and monitor schedules and see that deadlines are met.
• Develop and maintain efficient filing systems for all project processes and records (paper and electronic) and keep project files up to date on a regular basis.
• Maintain correspondence tracking logs for projects.
• Complete weekly/monthly reports timely and accurately and report updates verbally and in written form to management.
• Work collaboratively with the Energy Service manager and service team to maximize productivity.
• Verify vendor invoices as requested by the Energy Service manager.
• Complete required transaction on AX dynamics system.
• Follow up with suppliers of the materials or service to ensure timely delivery.
• Liase with logistics department to ensure materials are delivered to customers in accordance with acknowledged delivery dates.
• Ensure all invoices against material and any related project purchase orders are raised in accordance with acknowledged delivery dates.
• Where required place purchase orders, arrange and coordinate sub-contractor labor required to complete the project execution.
• Support Energy Service in achievement of monthly S&OP target and assist in the customers complaint until invoicing/charging out related materials and activities.
• To undertake any other duties and responsibilities as required / instructed in order to maintain and / or improve the efficiency, quality, safety, project execution, as well as customer service activities as instructed by the Energy Service Department.
• Comply with all company policies and procedures and maintain confidentiality of information relating to the company’s business and staff.

QUALIFICATIONS, EXPERIENCE, & SKILLS:

Minimum Qualifications: Bachelor’s degree in electrical engineering

Minimum Experience:

• 
  Minimum 4+ years working experience in similar industry who can immediately engage and drive this challenging role.
• 
  Preferable: At least 1+ year experience in distribution of substation automation projects.
