Support in the efficient flow of business by ensuring that invoices are prepared accurately and issued to customers in time every time.
· Follow-up on daily basis the execution of jobs for transports, FOB and Warehousing activities in direct relation with the various operational team and the various commercial team in Southern Africa. Constant communication.
· Verify and ensure that the requirements for invoicing are met: job finalized and completed
· Checking of Job Invoicing price against quotations and rate agreed. Liaise with relevant internal teams to verify job pricing and close on any discrepancies which could delay invoicing.
· Invoice customers using ERP and provide invoices to Commercial in order for them to send them to customers.
· Ensure proper record keeping for efficient query/dispute management
· Prepare weekly and monthly reports on invoicing performance for management review
· Prepare weekly and monthly reports on credit note issued with relevant supporting documentation and explanation.
· Handling of invoicing query escalations, liaise with Head of Operation / Finance in case of any discrepancy.
· Close liaising with contracts team to ensure up to date on contract updates and rate changes
Act as the company’s internal SME on all invoicing related matters
· Degree in Administration / Business Analysis / finance / supply chain / logistics.
· Experience of Invoicing process in close relation with the Operation and Commercial.
· Very good at communicating as constant communication through phones / emails / zoom etc is required
· Deep understanding of ERPs
· Attentive to details
· Minimum 5 years’ relevant experience
· Solid understanding of all freight forwarding related services
· Strong command of English language
