We are looking for a smart and vibrant candidate, one that is people oriented, can multi-task, understand secretarial duties and is highly organized. The Executive Secretary has to complete work in a timely manner with high attention to detail and needs to meet deadlines while managing the calendar and events of the Board of Directors. The ideal candidate should act as an ambassador to the group schools and collaborate efficiently with Group School Principals. She should be well versed with KHDA regulations and inspection frameworks of schools and have a fair understanding of standard operating procedures of schools, curriculum requirements, resource management, compliance requirements etc. Candidates with prior experience working in a similar role in an educational sector is preferred. Core Responsibilities:
Coordinate meetings and strategic activities, for the BOD.
Organize & manage calendar appointments, as well as the professional communication and public relations needs of the Board of Directors.
Draft letters, reports, proposals, coordinate oral and written communication with the prospects.
Supports Group Director in her external commitments.
Be professional, and highly confidential in all job duties.
Prioritize multiple tasks seamlessly with excellent attention to detail.
Follow up with the tasks assigned by the Board of Directors.
Preparing and disseminating memos and documents.
Assist colleagues and support them with planning and distributing information.
Answer calls and responds affably with the office staff competently.
Improving office systems, preparing presentations, managing filing.
Meeting and greeting visitors at all levels of seniority.
Dealing with incoming phone calls, emails, often corresponding on behalf of the BOD.
Carrying out background research and presenting findings to the BOD.
Producing documents, briefing papers, reports, and presentations to the BOD.
Take minutes of meetings or hearings and prepares the final document to be circulated.
Acting as the first point of contact between the BOD and internal & external stakeholders.
Handling all delegated tasks and queries appropriately.
Qualifications & skills: Bachelor’s/master’s degree from an accredited university. 5+ years of hands-on experience. Excellent verbal and written communication skills in English. Advance in MS Office tools. Timely completion of assignments. Excellent problem-solving skills without assistance. Detail-oriented with excellent research skills. Ability to handle a fast pace environment. Team player, flexible, adaptable to various cultures.
