1 Adheres to all Hotel policies and working procedures, as well as emergency procedures
2 Keeps updated on the systems and its operations
3 Keeps informed about the hotels organization, its structure and officers, activities and promotions
4 Promptly, politely and accurately handles all telephone reservations according to corporate standards
5 Handles all incoming reservation faxescorrespondence and processes them within the same day the reservations are received
6 Attends to guest requests in the best possible way
7 Checks for accuracy and completeness all reservations in the system to ensure that they reflect all the pertinent details
8 Keeps informed of the booking capacity of the system
9 Ensures that all special billing requirements have passed credit clearance and letters of authorizationvouchers are received prior to guests arrival
10 Upsells accommodations whenever possible to maximize revenue
11 Informs immediate supervisor on any deviations in rate applications or reservation arrangements
12 Handles pre-blocking of rooms and special requirements
13 Informs the Front Office Supervisor on duty about early check-in guests with amenities (fruits, flowers, etc) and relays specified amenities to Concierge, Room Service and Housekeeping based on schedules set
14 Prints and distributes monthly statistical reports based on the following
a Business Origin
b Geographical Source of Reservations
c Country of Residence
d Individual Room production of corporate accounts, travel agencies, airlines, etc
15 Maintains a complete file of reports for easy reference
16 Processes and distributes all incoming and outgoing admin messages
17 Updates Guest History masters on individual preferences, complaints, etc
18 Maintains a file of each tourconvention group and reviews all data from the booking sheet
19 Ensures that group arrivals are linked to the correct travel agency or company master , if any
20 Closely monitors individual reservations of convention blocks based on reports and enforces cut-off controls
21 Maintains systematic files of reservation records and other office correspondence
22 Maintains orderliness and cleanliness in the worklounge area
23 Attends monthly departmental meetings
24 Performs other duties as may be assigned from time to time
