About the role

As a Food & Beverage Personal Assistant at One&Only One Za’abeel,you will play a pivotal role in assisting our F&B leadership team and contributing to the overall success of our department. Your responsibilities will encompass a wide range of tasks to facilitate efficient daily operations, maintain exceptional customer service, and support the growth of our business.

Key Responsibilities:

1. Administrative Support:
   • Manage the executive team’s calendars, schedule meetings, and arrange appointments.
   • Organize and maintain files, records, and documents related to the F&B department.
   • Prepare reports, presentations, and correspondence as needed.
2. Communication and Coordination:
   • Act as the primary point of contact for internal and external stakeholders.
   • Facilitate communication between the executive team, department heads, and other team members.
   • Respond to emails and phone calls in a professional and efficient manner.
3. Event and Project Management:
   • Assist in planning and coordinating special events, meetings, and projects within the F&B department.
   • Ensure all logistical aspects, such as venue bookings, catering, and guest lists, are handled effectively.
4. Travel and Accommodation:
   • Arrange travel itineraries, accommodations, and transportation for the executive team.
   • Ensure all travel arrangements are cost-effective and align with company policies.
5. Financial and Budget Management:
   • Assist in monitoring and managing departmental budgets, expenses, and financial records.
   • Coordinate invoice processing and expense reporting.
6. Customer Service and Guest Relations:
   • Act as a liaison between the executive team and customers, ensuring their requests and feedback are addressed promptly.
   • Handle customer inquiries and resolve issues with professionalism and tact.
7. General Support:
   • Perform miscellaneous tasks and projects as assigned by the executive team.
   • Maintain a high level of confidentiality in all aspects of your work.

About you

The ideal candidate must have proven experience as a Personal Assistant or Administrative Assistant, preferably in the Food & Beverage industry. Excellent organizational and time-management skills. Strong communication and interpersonal abilities. Proficiency in Microsoft Office Suite and other relevant software. Detail-oriented and capable of handling multiple tasks simultaneously. Discretion and the ability to maintain a high level of confidentiality. Genuine interest in the Food & Beverage industry is a plus.
