About the role
As a Coordinator, Colleague Residences at one & Only one za’abeel, you will be assisting the Manager, Colleague Residencesand your job will be to provide the Employee Residence department with the support and coordination of all administrative-related issues in the department, in addition to providing excellent customer service to both internal and external Colleagues.
Key Duties and Responsibilities
· Provide assistance to colleagues with all Employee Residence and HR-related concerns.
· Warmly Greets external/internal clients and handles their requests promptly and efficiently.
· Handles the Housing reception Area in a very professional and organized manner.
· Maintains reception details and updates report/summary weekly.
· Issues and collects ID Cards, assists with programming through Security, and assists with other administration tasks.
· Receives from/issues Passports to Colleagues and HR as required.
· Ensures that all admin is completed accurately and timeously.
· Ensures Oasys/ Rooming list is updated and is error-free to maintain the accuracy of the Employee logs.
· Maintains and ensures the Colleague’s Personal Files are up to date.
· Ensures the Filing store and the key room is clean and organized, and documents are filed away immediately after processing. .
· Tracks and records room move requests, maintenance requests, Concerns & complaints, and actively seeks to resolve Colleagues’ concerns.
· Assists in the HR administration team’s quarterly audit on passport handling.
· Assists Colleagues with the use of the printing machine and checks daily that the internet café and training rooms are ready for use.
· Assists with all service issues within their remit, and where necessary escalates concerns or queries to the relevant department.
· Any and all other duties as may be assigned from time to time.
About you
The ideal candidate will have a minimum of 1-2 years in hospitality at a 5* hotel, 1-3 years of experience in a admin role, Bachelor’s Degree or Higher education in HR or Business administration field. To be passionate, personable, friendly, dedicated, professional and well groomed. Proficiency in all MS Office Programs, Internet, Oracle HRMS Systems. Advanced admin skills and potentially a second language written and spoken. Organizational skills, advanced communication and writing skills
