Housekeeping Coordinator- Female
Job Summary:
This position is responsible for all administration work in Housekeeping to ensure smooth running of the department’s daily operations in accordance with SBU’s SOP.
Duties and Responsibilities:
Answer all telephone calls to housekeeping office in a warm, friendly and professional manner. Ensure daily flower requests are attended to daily. Ensure that all babysitting requests are attended to, promptly and professionally in accordance with SBU’s SOP. Obtain up to date information of the grounds and facilities of the hotel in order to answer questions and queries in a professional timely manner from the guests. Ensure that guest requests are executed within 15 minutes. Coordinate priority of VIP rooms with Front Office and communicate this to the Housekeeping Attendants and/or Housekeeping Supervisors. Update rooms’ status throughout the day, if requested by Housekeeping Supervisors. Assist Housekeeping Supervisors with the weekly store requisition. Ensure that colleagues are given a proper handover after end of duty. Ensure that all folders, files, worksheets and logbooks are maintained and updated constantly. Ensure that all lost property is attended to, as per SOPs and including handing over to Dubai Police as and when required in cooperation with the hotel Chief of Security. Ensure that all outside telephone calls received in the office, or from internal extensions are answered in prompt and professional manner. Ensure that there is always a sufficient stock of office supplies and guest supplies for all Housekeeping offices. Adhere to and ensure that staff follows the procedures for general security with respect to key handling, guest room entry and exit procedures. Ensure that the Housekeeping offices are clean, tidy and well presented at all times. Operate the office computer in a professional manner.
Check the supervisor logbook daily and report any issues to the Line Manager.
Prepare housekeeping associates monthly time sheets and forward to the Executive Housekeeper for approval.
Send requisitions to the general stores for withdrawal of guest supplies and other amenities required. Inform the Line Manager if anything is out of stock.
Responsible for processing and filing of the following documents: storeroom requisitions, purchase requisitions, beverage requisitions, uniform requisition, medical chits, annual vacation forms, accident reports, duty rosters, attendance reports, inter-office correspondence, etc. Update and deliver monthly reports on all environmental statistics pertaining to the property.
Record and prepare daily the summary of mini bar items, and forward to Accounting department if applicable.
