The InterContinental Hotels Group® properties in Dubai Festival City consist of four hotel brands. Your day to day

Reporting directly to the Cluster Hotel Manager and the Asst. Front Office Manager, the primary responsibility of this role is to support the preparation and organization of the calendar, meetings and events related to the Cluster Hotel Manager, collating and delivering reports, and to handling all guest communication pre- arrival and post- farewell, pre-arrival planning and to update all guest preferences and profiles to ensure a seamless guest arrival. The Front Office Admin reviews arrivals of the day, prepares welcome letters, checks amenities and inspects VIP rooms, furthermore makes courtesy calls and follows up on any kind of guest request. In addition, the Front Office Admin carries out any kind of administrative tasks or responsibilities and may perform other duties within the Front Office Team, such as supporting the Reception with the check in and check out of guests.

• Organize CHM calendar and ensure no meetings overlap, reschedule with delegates if necessary. Highlight important IHG Corporate meetings.
• VIP and GM Welcome Cards to be made and given to CHM for signature
• Prioritize documents & cheques for HM signature. Inform HODs and secretaries to send documents for CHM signature a day prior to the date the CHM will be out of office in case of extended leave.
• Follow up on Jana POs that require CHM approval.
• Respond to social reviews on Trip Advisor for Crowne Plaza and update response status in Medallia
• AFGRE Property Meeting Presentation Slides and HM Backup Information to be followed up with.
• Payroll to be done for CP FO in coordination with FO admin using Civilsoft.
• Ensure all Gift Vouchers have backup documents saved for finance audit.
• Coordinating and managing travel itineraries including trip agenda, visas, flight bookings, transfers, accommodation, expense reports, and other related tasks.
• Drafting and compiling presentations, spreadsheets, and any other correspondences if needed.
• Collating and delivering monthly/weekly/daily reports.
• Preparing, filtering, and reviewing invoices/expense reports prior to presenting to the CHM for approval and signature.
• Assisting and handling hotel reservations for clients and hotel owners around the globe.
• Liaising with clients and other business guests, providing assistance/support as required
• Planning and scheduling internal and external meetings, interviews, orientations, and training sessions.
• Any information shared to be in high privacy/confidential and should not be disclosed
• Any other related Ad hoc tasks

Front Office Rooms Controller & Admin Responsibilities

• Keeps track of inventory stocks and ensure that orders for items required are placed in advance taking into account lead time.
• Ensures the back office area is tidy, older files are systematically archived as per procedure, and all back office boards are updated accurately.
• Responsible for keeping the Rate Your Stay Tracker updated, and highlighting patterns of inconsistency or areas of concern to AFOM.
• Responsible to assist with completion of payroll duties when required.
• Gives courtesy calls to guests who have just checked in.
• Follows up on room allocation, amenities and traces.
• Follows up on due out rooms with departure calls when required.
• Sends pre-arrival emails to guests and responds to their queries.
• Ensures First Aid kit supplies are stocked on a weekly basis.

What we need from you

Ideally, you’ll have some or all of the following competencies and experience we’re looking for:

• Communication skills – guests and colleagues will need to come to you with concerns as well as compliments, so you’ll be easy to talk to
• Fluency in the English language – extra language skills would be great, but not essential
• Your Time management skills will be important to know how to prioritize tasks under pressure
• Your outgoing personality is important in order to help our guests, and create memorable moments
• Flexibility – night, weekend and holiday shifts are all part of the job
• Experience – ideally you’ll have spent at least one year in a similar position in a 5 star property
• Previous experience using Opera required
• Precious admin experience preferred
• You’ll have a high school diploma or qualification. A college or university degree would be a bonus, but not essential
• Ability to work independently and within a team environment
• Look smart – wear your uniform, with pride
• Attention to detail will be key at all times
