An Inventory Coordinator for our fabulous Creative Fragrance Perfumery Lab in Dubai, and providing essential support for both our Fine Fragrance and Fragrance Consumer Products development teams supporting our customers in the Middle East & North Africa markets – Your future position?

Our Perfumery Lab in Dubai provides critical Lab and analytical support for our creative fragrance development teams for consumer products and fine fragrance categories, helping Givaudan provide unique fragrance solutions for our customers in the Middle East & North Africa markets.

We are now looking to recruit an ‘Inventory Coordinator’ to support the efficient operations of our expanding Creative Fragrance Perfumery Lab in our Regional Creative Centre in Dubai. You will be based in our Dubai Media City office and report to the Creative Fragrance Perfumery Lab Team Leader.

You will ensure the proper records of raw materials in inventory and orders placed. You will monitor inventory and consumption trends and proactively take action to replenish stock. Your expertise will also be needed to reconcile inventory discrepancies and flag them to the Lab Team Leader. You will also support interpreting the fragrance formulas received and manage daily priorities. This is a permanent and full-time role and offers excellent opportunities for both personal and professional development.

In this exciting role, with a ‘can-do’ mindset, you will:
Inventory monitoring and management –

• Proactively monitor inventory and consumption trends and maintain the inventory levels for the Dubai Creative Fragrance Perfumery Lab.
• Process purchase orders of lab equipment and consumables through the internal SAP and Laboratory Compounding Management System (LCMS) weekly.
• Proactively monitor and keep track of publish raw materials and replace them periodically in coordination with other Lab team members.
• Receive, unpack, prepare repacking labels from SAP and restock the raw materials and consumables for all workstations and the automated sample coordination system (ROBOT) in the Lab.
• Maintain the reserve stock for ROBOT in coordination with the Robot technician.
• Ensure proper allocation, handling, and storage of raw materials.

Data entry and reporting –

• Record inventory purchases, perform a regular physical inventory count and reconcile actual stock counts to ensure database integrity and computer-generated reporting.
• Processes purchase invoices for payment in SAP.
• Process and document inventory and sample returns following established procedures.
• Ensure regular reporting and flag inventory discrepancies to the Lab Team Leader for further assessment and action.
• Perform routine administration duties, including data entry and assisting stakeholders when needed.

Laboratory Compounding Management System (LCMS) –

• Interpret the fragrance formulas and information received from Perfumers via the internal LCMS system, and delegate to all the Lab team members for sample compounding as per priority.

Support sample compounding for the team when needed –

• Support the team and perform the entire compounding process when needed during the shortage of manpower – blending fragrance ingredients according to the formulas provided.
• Perform the sampling process – compounding, mixing, packaging, and cleaning or prioritise any other urgent tasks which may arise from time to time, with an efficient and cost-effective approach.

Prioritise Lab safety and housekeeping –

• Promote and maintain a safe, clean, organised laboratory environment by observing Environment, Health, and Safety (EHS) guidelines and Givaudan’s good laboratory practices.
• Understand the hazards and risks involved in managing raw materials in a laboratory environment.

Your professional profile includes –

• Currently already based in the United Arab Emirates (UAE).
• A Bachelor’s degree in a relevant discipline.
• 3+ years of relevant hands-on work experience in inventory management and coordination. Preference will be given to candidates with prior experience in a laboratory environment.
• Expert working knowledge of SAP ERP for inventory management is mandatory.
• Have a good knowledge of raw material supplies, ordering, and inventory control.
• A basic understanding of the lab documentation protocol and handling of lab equipment and chemicals.
• Comfortable with routine administrative tasks and working in a laboratory environment.
• Has no known allergies to chemicals or fragrance raw materials.
• A good team player and comfortable with diversity.
