RESPONSIBILITIES
The Assistant Residences Services Manager, in coordination with the Director of Residences, directs and supervises the dedicated team to ensure the smooth, efficient and to standard operation of the Residences. Acting as the Manager on Duty, provides managerial and administrative support including coordinating move-in and interior decorating/finishing procedures for unit owners, conducting orientation for new unit owners, handling of day to day operations from ensuring a smooth running of the housekeeping and filing of records, maintenance of logs related to expenses to supervising all functions of the residences. Maintain daily contact with individual unit homeowners, respond to their queries and solve any operational issues that arise. The ARSM also directs the overnight team to ensure the smooth, efficient and to standard operation of the Residences.
TASKS
Assist in people management eg. Hiring and training of all Residence team members, payroll, schedules, provide regular performance feedback, etc
Be the first contact for any homeowner/tenant needs and concerns, ensuring the highest level of service and responsiveness
Coordinate and manage the day-to-day operations of the residences. Eg. Oversee the resident events in common areas or in-unit, assist with purchase orders, etc
Assist with new homeowner orientations to the residences. Ensure all required policies and procedures are understood and signed
Responsible for all supplies inventory, departmental equipment and stationery, coordination and maintenance of this as required, ensuring adequate departmental supplies are ordered under a strict cost control
Support Concierge team in a la carte requests and coordination
Assists the Director of Residences and Facilities Manager in maintaining the homeowner’s assets through weekly, monthly walk-throughs to support the preventative maintenance program
Develop service improvement ideas, policies and procedures and implement them with approval of the Director of Residences
Lead training efforts between the Residential Division and the supporting resort departments to ensure all service requests from private residence homeowners and tenants are understood, completed in a timely manner, to the highest standards of
execution
Coordinate and manage the overnight operations of the residences
Be responsible for allocating duties and delegating work within the building, continuously monitoring the progress and ensuring that all work is kept up-to-date. Eg. Oversee cleaning of common areas, preparation for upcoming resident requests, etc
Responsible for preparing, reviewing, and executing contingency plans for system malfunctions and emergency situations during the overnight shifts
Perform daily inventory checks of supplies, keys, etc
To ensure that all staff are well groomed, neatly dressed and in the appropriate uniform, taking corrective action when necessary
To act upon any deviation from the set standards of performance and job descriptions by any member of staff, providing appraisals and further training and taking disciplinary action, if necessary, in liaison with the Director of Residences
To deal with any complaints in the area of his/her responsibility, to investigate all pertinent details, to report findings to management and to take the necessary steps to avoid a reoccurrence
To ensure adherence by all staff to all Health and Safety Regulations, Life, Fire & Safety and Emergency Response Procedures. Be fully familiar with the fire panel operation and the Operations Manager’s – Security and Safety role as controller in an emergency
To assist the Finance Manager by personally ensuring the residence’s credit procedures are in place and are fully understood and practiced by all staff
To maintain all current and past records in an efficient manner and to ensure that all necessary information is available and/or properly stored in a secure place for the required timeframe
To ensure all employees are fully conversant with all other emergency procedures; bomb threats, ambulance, police, and Doctor calls and train all staff accordingly
To be aware of all major events throughout the coming year which may affect homeowners and ensure they are input into the computer
Be responsible for preparing, reviewing, and executing contingency plans for system malfunctions and emergency situations
To maintain and update all training documents and associated resource materials.
The ability to keep employees well informed of all changes in policy, services, personnel, special activities, etc
The ability to maintain accurate records and a log of emergency calls, fire, police, elevators, etc., and follow-up meetings with Security to continually review all procedures
To maintain good working relationships with all contractors, high morale and excellence in the department through leadership and a fair and consistent display of discipline
To ensure that the common and heart-of-house areas are always clean and immaculate
Develop and project initiatives that reflect the goal to a more sustainable environment
To support the employee experience in the Residences
To perform other duties as required by Director of Residences, relating to the operation of the Residences
The ability to use all the IT systems utilised within the Residences and maintain key operators/trainers for each system to ensure full utilisation of all the systems relevant
to the area
Ensure labor model is efficient and appropriate for residence occupancy throughout the year
Review all purchase orders and approve or deny as appropriate, to ensure that the service charge budget is respected at all times
Proactively suggest ways to reduce costs and look to implement such savings on an on-going basis
Leads residential recognition efforts – maintain homeowner profiles keeping up to date information readily available, be Elite contact.
Handle all resident interactions with the highest level of hospitality and professionalism, accommodating special requests whenever possible; resolve resident complaints; assist residents in all inquiries in connection with the property services, in-house events, directions, local attractions, pre-arrival needs, etc.
Become familiar with the legal and governance responsibilities of the Property Manager, Property Owners and Operator, and will remedy any conflicts that occur in-keeping with the project governing documents
Covers shifts, including night shifts
Participate in and develop employee training programs in order to minimise staff turnover and maintain high moral
Network within the community to ensure that neighbours are respected and third parties view the residences in a positive light
SKILLS AND COMPENTENCIES
Fluent in English, written and verbal; local language an asset
Post-secondary education or equivalent experience
Must have at least 5 years previous management experience in luxury hospitality or residential
Strong mathematical, analytical and business acumen skills
Basic First Aid/CPR & Emergency response training
Ability to use a variety of computer systems to run daily reports and process homeowner requests
Ability to effectively communicate within all levels of the organization on the status of security, Health & Safety issue
Has the emotional maturity to understand the impact and sensitivity of security issues
Has key F&B skills including the ability to train on service standards.
