Job Summary:      Looking for an Executive Secretary in Al Ain, United Arab Emirates (UAE)

Job Key Details:

• Manage and maintain the executive team’s schedules, including arranging appointments, meetings as well as conference calls
• Coordinate and prioritize incoming communications, including phone calls, emails, and correspondence ensuring timely and appropriate responses
• Prepare and edit correspondence, reports, presentations as well as other documents as required by the executives
• Maintain an organized filing system, both electronic and physical for documents, records and reports, ensuring easy retrieval and confidentiality
• Assist in the preparation and organization of board meetings, including scheduling, preparing agendas, collating board packs as well as taking accurate meeting minutes
• Conduct research, compile data and prepare reports on various topics as assigned by the executives
• Maintain executive’s agenda and assist in planning appointments, meetings, etc
• Maintain and control confidential files
• Handle sensitive and confidential information with the utmost discretion and maintain confidentiality across all levels of the organization
• Conduct general administrative tasks such as filing, photocopying and managing office supplies
• Attend meetings and keep minutes
• Carry out any other related tasks as may be required

Job Qualifications and Experience

• Possess a Degree in Secretarial Studies, Business Administration or any other related course
• Must have a minimum of 2 to 5 years of experience in the same or similar position
• Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment
• Proficient in using office software and technology, including Microsoft Office Suite
• Ability to maintain accuracy while managing multiple tasks simultaneously
• Demonstrated ability to handle confidential and sensitive information with utmost discretion
• Excellent interpersonal skills, with the ability to interact professionally with stakeholders at all levels
• Exceptional communication skills, with the ability to draft and edit professional documents
• Good interpersonal skills with the ability to manage sensitive and confidential situations
