DUTIES AND RESPONSIBILITIES About the role

We are hiring a Project Administrator to join our Professional Services team to coordinate the regional project activities ranging from small simple tasks to large, complex projects.

As a Project Administrator you will manage schedules, do capacity planning , arrange assignments, prepare action plans, analyze risks/opportunities, gather necessary resources and communicate progress to team members, partners and end users.

The ultimate goal is ensuring Exclusive Networks projects are completed within the restraints of time, quality, and budget.

As Project Administrator you will also be responsible for the effective and efficient utilization of our workflow management system i.e. Monday.com

In order to succeed in this role, you must be highly organized and have excellent collaboration and communication skills, and thrive working in a fast-paced environment .

As a Project Administrator, you will:

• Schedule routine meetings and record decisions (e.g., next steps, assigned tasks etc.)
• Breakdown complex projects into simpler tasks setting time-related goals and deliverables
• Create and update workflows and dashboards
• Update project data entry on portal and ensure updates are timely and accurate
• Measure and report on project performance
• Monitor progress of the projects and address potential issues
• Retrieve necessary information such as related case studies and client/user requirements
• Track expenses and predict future costs
• Prepare and provide documentation to key stakeholders and internal teams
• Update our inhouse portals (weekly, monthly and quarterly) Qlikview, CA Reports, Monday.com and Ares and analyse data as needed
• Take ownership for the administration of Monday.com including training of staff, implementing updates and upgrades, creating dashboards and running reports as well as ensuring the effective use of Monday.com across the Professional Services teams

QUALIFICATIONS AND EXPERIENCE About you

The ideal Project Administrator will have:

• A Bachelors degree.
• 3+ years prior project management experience, ideally within a technical environment
• Experience in Monday.com
• An understanding of Cyber Security
• Project Management certification (e.g., PMP/PRINCE2) is a plus
• Prior experience as a Project Administrator or a similar role
• Experience with project management software such as MS Project and Monday.com (or equivalent)
• Experience with technical documentation, flowcharts, and schedules
• Ability to work in a fast-paced team environment
• Strong multitasking skills with the ability to prioritize tasks
• Problem-solving skills with a keen eye for details
• Exceptional time-management and organizational skills
• Strong verbal as well as written communication skills
• Multi-lingual
