In this position, you should feel comfortable coordinating calendar appointments, managing communications, and planning events, as necessary. Managing the three-core area of office management services as: Administration, Coordination and Organization of the activities and tasks associated with top level executives. Administration:Manage the entire department administrative activitiesManage and processes payments for invoices being raised on the unitManage IT related requirements for department.Manage collection of MIS / reports/ presentation in timely manner to facilitates management for review and decision makingManage record keeping activities for departmentCoordination:Liaison on behalf of top-level executive with other departmentsCenter point of contact for tracking all proposal submissions and approvals and follow-ups with other unitsCoordinate recruitment and all HR related activitiesNew employee’s induction and setupInternal and External communication on behalf of top executive to ensure follow up Organization:Organizes dairy, committee /board meetings, calendar management for top executives.Make necessary arrangements for travel and visa plansArranges bookings for hotels, venues, and conference rooms as per requirement of top managementPlanning for appropriate/ suitable dates and time management for interviews and customers meetings align with top executive calendarOrganizing appointments/ meeting with customers Units Head fixing up meeting with other department heads & staffOrganizing meeting with higher management on regular basisObserves confidential procedures and register / track accountable or statutory documentation in order to ensure appropriate level of confidentiality, security and controlAbout YOU:The incumbent is a team administrator who has a friendly, efficient, and professional disposition to accommodate direct contact for the department. This individual plays an instrumental role in the day-to-day office management and contributes to areas such as HR, Training, Corporate Communications, Credit, and other units within the team. This person is the initial point of contact for all other departments and therefore needs to be customer focused and presentable.QualificationsBachelor’s degree or equivalent5+ Years experience in a similar role, preferably financial sectorAbility to handle multiple tasks while staying organized
