POSITION TITLE: SALES COORDINATOR

Summary Description:

Under the general guidance and supervision of the Director of Sales & Marketing, in coordination with the Sales Managers and within the limits of established hotel policies and procedures, overseas and coordinate the overall secretarial tasks in the Sales Department and responsible for administering of Sales & Marketing Department.

A) Responsibilities and Duties:

  • Produces reports based on the sales of employees in the sales department.
  • Meets with people in other departments to help promote product.
  • Trains new employees to make sure they meet various guidelines.
  • Creates new and innovative ideas to sell product.
  • Responds to any inquiries from the consumer.
  • Evaluates the performance of salespeople.
  • Hires and fires sales team members when necessary
  • Reads and evaluates sales reports.
  • Meets monthly sales goals as provided by management.
  • Makes sure that sales orders are delivered in a timely fashion and according to the desires of customers.
  • Settles upon delivery dates and times with other departments to make sure that the consumer interaction is of the utmost of professionalism.
  • Makes presentations to management which explain how to meet sales goals and talk about any new innovative ideas that management may have.
  • Has the ability to read any and all financial documents, especially cash flow statements and general ledgers.
  • Assists the marketing department in new marketing campaigns.
  • Makes sales goals and assists other members of the sales department in meeting them.

Administration Skills

· To constantly check filing / tracing system and give advice for improvement

· Tracing production of new accounts and report to DOSM periodically.

· To handle routine correspondences, i.e., letters/fax/inquires, for DOSM.

· To prepare production report on a monthly basis.

· To Assist DOSM with issuing annual corporate contract and related activities.

· To assist DOSM to manage Chinese label mailing system

· To handle routine monthly / quarterly due activities and ensure the completion i.e., Outbound, Hit list update, target review.

· Responsible for related duties and special projects as assigned by DOSM.

Interpersonal & Communicational Skills

· To establish and maintain effective employee relations through prompt response and helpful attitude.

· To develop and maintain close working relationship with staff at all levels within Sales and Marketing Division.

· To conduct site inspection and handle guests inquires on behalf of SMs when required.

Familiar with Computer Operations

· To design easy-to-read format for various report as instructed by DOSM

· To operate Front Office system and basic office software in a skillful manner

Additional duties and responsibilities:

· Ensure integrity and confidentiality of information at all times.

· To perform any additional requirement, tasks and duties outside of his/her scope of work as deemed necessary by your Head of Department or the Management.

· Changes in business may require alterations to this Job Description.

Care of Equipment

· Ensures maintenance and careful handling of equipment used.

· Ensures timely reporting of malfunction or maintenance deficiency to appropriate area.

Training and Employee’s Activities

· Attends scheduled trainings.

· Participates actively in company-initiated employee activities.

Grooming and Hygiene

· Adheres to the specified hygiene and personal appearance standards of the hotel and surrounding area.

Attendance

· Adheres to the set procedures for attendance and timekeeping.

· Adheres to the provisions outlined in the Employee’s Handbook, Disciplinary Code, and Rules & Regulations.

Environmental Awareness

· Reduces waste of supplies and materials by re-using or selling.

· Recycles, when possible.

· Conserves water and energy by adhering to environmental / energy conservation checklist appropriate for the surrounding area.

· Maintains clean surroundings.

· Participates in activities concerning the protection of the environment.

B) Legal Responsibilities

To ensure that the standards required by Law and by Management are maintained at all times in all areas of operations.
