Job Context: For BUSTANICA, we’re seeking a talented Administrative Generalist to join our dynamic team. If you’re passionate about driving operational excellence and making a meaningful impact, we’d love to hear from you.Key Result Areas:Collaborate with the sales team to prepare and organize sales documents, proposals, contracts, sales materials, presentations, and marketing collateral, ensuring the team has professional, persuasive materials for effective client interactions and increased sales success.Liaise with various departments to ensure timely order fulfilment and delivery, guaranteeing a seamless and punctual delivery process, meeting customer expectations and commitments.Assist in organizing sales meetings, conferences, and events, facilitating networking opportunities and presentations, contributing to business growth and brand exposure.Maintain open communication channels with the sales team, management, and other relevant departments, addressing internal inquiries and collaborating with colleagues to resolve issues, fostering a collaborative work environment, ensuring smooth operations and efficient issue resolution.Support the General Manager and various departments with administrative functions, including scheduling meetings, managing records and data, and maintaining office operations.Ensure confidentiality and data security, comply with company policies and regulations, and assist in managing office supplies.Assist in onboarding new employees, handle correspondence, and collaborate with other administrative staff for a smooth office operation.Assist the HR department with administrative functions, encompassing personnel data management, attendance and leave management, support for various committees, and oversight of file information.Assist in handling expense reports, processing bills (petty cash), tracking petty cash, and maintaining financial records to ensure accurate financial management and adherence to budgetary guidelines.Manage ERP system (Odoo) operations, including implementation, data analysis, user support, and process optimization, to enhance organizational efficiency and effectiveness, while staying updated on system developments.Education Qualification: High school diploma or equivalent; additional education or certification in administrationBachelor’s degree in a relevant field, such as business administration, marketing, or a related discipline is preferred. Work Experience: Demonstrated experience in overseeing sales operations and administrative support functions.Proven track record in optimizing ERP systems and ensuring data security.Familiarity with fostering a collaborative work environment and addressing internal inquiries effectively.Prior experience in managing delivery processes and maintaining high standards of efficiency and productivity.Knowledge of relevant industry standards and regulations pertaining to sales and administrative operations.Skills:Must have valid driver’s license.Excellent communication and interpersonal skills for collaborating with multiple departments and addressing internal inquiries.Fluency in Arabic and English, both written and spoken, is required for effective communication with clients and team members in the region.Proficiency in managing and optimizing ERP systems, ensuring data security and efficient utilization of resources.Strong organizational and time management abilities to oversee streamlined operations effectively.Attention to detail and problem-solving skills to maintain high standards of efficiency and productivity.Adaptability and the ability to work in a dynamic and fast-paced environment while upholding company standards and regulations.
