The role of Invoicing/ Billing and Collections Specialist

You will be responsible for managing and collection of all the outstanding invoices receivables from the customers; following up with the customers about the outstanding payment in order to collect the outstanding payment and minimise the amount of accounts receivable. You will also need to ensure the outstanding amounts are collected in a timely manner; minimize the manual generation of Invoices to enhance the customer experience.

As part of the Finance team, you will be required to support the business and ensure there is a proper process of correct billing; regular follow up with the customers; accurate dealing with the Invoicing issues and questions by ensuring customer satisfaction and communication; accurate reporting and proper debt collection.

Key Responsibilities and Tasks:

Billing/Invoicing

• Investigate historical data for each debt or bill.
• Coordinate with the customers in order to identify the overdue payments and get the updates regarding the repayment plan;
• Follow up with the customers on outstanding payments
• Keep accurate records and report on collection activity.

• Collection of partial outstanding payments in a case if the whole amount is not available.
• Monthly reporting of Vendor and staff vehicle fines; updating Finance and HR department on related questions
• Generate declined reports to identify outstanding payments and communicate the updates to the Finance team
• Identify ongoing bookings with the declined transaction and immobilize the vehicle
• Respond to any queries related to the Invoicing questions and resolve related issues in a timely manner
• Generate manual invoices for penalty fees raised and requested by the Operations and/or Customer Service teams.
• Identify missing invoices related to the vehicle usage and generate accurate Invoice
• Coordinate with the Legal Manager on outstanding payments from the customers and provide the updated data on a regular basis in order to proceed with the legal cases

Regular Reporting

• Ensure timely and accurate recordings of invoicing
• Dealing with the exceptional cases and coordinating with the finance team for the further resolution
• Compile periodic key KPI metrics and report the outcome to the management and the Group CFO

Requirements

• Bachelor’s Degree in accounting or any other related discipline with sound accounting knowledge
• A minimum of three (3) years experience in back office or process of finance is essential
• Experience in the technology, mobility or automotive industry is an advantage
• Experience in ERP is an advantage
• Sound understanding of local country’s business practices
• A good team player with strong interpersonal skills and can interact with all levels within the organisation and region. Not a 9-5 worker.
• Analytically strong and able to be proactive and work independently in a fast-paced environment
• Demonstrable experience in improving current work practices and implementing new ideas
• Strong planning, problem-solving and organisational skills and is able to prioritise and manage multiple tasks and deadlines
