The purpose of this position is to provide a comprehensive administrative and clerical support to Finance team and individual members of staff in order to facilitate and support team’s day-to-day tasks and support the efficient delivery of the team’s key objectives, and to create reports and administer PR/PO within the policy and guidelines.Key Accountabilities:Organize Head’s diary with high degree of professionalism and confidentiality.Screen phone calls and direct to appropriate party promptly and efficiently.Arrange various events (meetings, conferences etc.) as per the supervisor’s request.Receive and distributes incoming mail and deals directly with routine queries / drafts responses where appropriate.Prepare PowerPoint slides / documentation for meetings.Manage and review filing and office systems.Book meeting rooms, arranges agendas, orders catering, attend meetings where appropriate (including taking minutes).Arrange telephone conferences as required.Administer Head’s business travel logistics and arrangements for transportation and hotels.Process expenses for Head’s and other managers as required.Key Requirements:Minimum 5+ years of experience in an administrative role, with at least 2 years of experience as a Personal Assistant to an executive.Experienced in writing letters and official communication in both Arabic and EnglishKeep abreast of organizational issues and have a good understanding of the organization’s aims and objectivesAssertiveness – able to manage a variety of personalities / deal with calls / screen calls for SVPExcellent verbal & written English & ArabicProficiency in Word, Excel, Power Point, Access & OutlookExcellent communication & interpersonal skillsExtremely organized and able to prioritize workload, working to strict deadlines and under pressure
