Job Description
Set up and maintain a systematic project filing system with easy traceability
Establish and maintain a tracking facility to enable doents to be updated and retrieved easily.
Prepare correspondences, letters and reports as directed by the Project Managers.
Maintain and update tracking logs and records.
Daily routine activities and directories, tracking and retrieval of doents and drawings.
Maintain registers of all receipts and issues or submissions of doents and correspondence.
Expedite the return of doents and approvals or commencts wihtin the required period timeperiod internal and external parties to whom they have been issued or distributed.
Responsible for the flow and control of all doentation between the Contractor and the client.
Maintain updated records of all approved doents and drawings and ensure that controlled copies are given to the appropriate sta and Project Manag as applicable.
Receiving weekly and monthly timesheets of the site engineers
Perform secretarial task including answering phone calls, receiving guest etc.
Perform other related task as and when needed.
Candidate Requirements
Education and certification: A degree in a relevant field such as business administration, library science, or information management may be required. Certification in doent control, such as the Certified Doent Controller (CDC) certification from the American Society of Quality (ASQ), may also be preferred.
Experience: Prior experience in doent control, records management, or related fields is often required. A minimum of 2-3 years of experience in a similar role is typical.
Knowledge of doent management systems: Proficiency in doent management software and systems is essential for the role. Familiarity with electronic doent management systems (EDMS), Microsoft SharePoint, and other doent control software is preferred.
Communication skills: Excellent verbal and written communication skills are necessary to interact with colleagues and stakeholders and to produce clear and concise doentation.
Attention to detail: A keen eye for detail and accuracy is necessary when managing large volumes of doents and data.
Organizational skills: Effective organization and time management skills are crucial when managing multiple projects, deadlines, and priorities.
Ability to work independently: The Doent Controller must be able to work independently, taking ownership of projects, and ensuring that all doents are properly maintained.
Knowledge of regulations and compliance requirements: Familiarity with regulatory and compliance requirements, such as ISO standards and industry-specific regulations, is often necessary.
Analytical skills: The ability to analyze and interpret complex information is essential when dealing with large volumes of data.
Teamwork: The Doent Controller must be able to work effectively as part of a team and collaborate with colleagues across different departments and levels of the organization.
