Customer Service ResponsibilitiesWe are seeking a highly skilled Customer Service Agent to join our team at Star Services LLC. In this role, you will be responsible for:Daily Transaction Processing: Accurately input customer transactions, including receipts and orders, into our system.Operational Reporting: Provide timely and accurate operational reports to management as needed.Special Order Requests: Cater to special order requests from customers, ensuring timely and efficient resolution.Documentation: Prepare relevant documentation for transactions, maintaining accurate records.Invoice Preparation: Prepare billing breakdowns and raise invoices in CFIT monthly, ensuring accuracy and timeliness.Team Support: Support the team by backing up on other accounts as needed, demonstrating flexibility and adaptability.Customer Communication: Communicate with customers on daily operations, providing clear and concise information.Issue Resolution: Escalate and aid in resolving operational issues, ensuring customer satisfaction.Inventory Management: Maintain an organized and accurate system inventory for customers, ensuring seamless service.KPI Reporting: Produce monthly KPI reports to be shared with customers, providing valuable insights.Invoice Approvals: Follow up with customers for invoice approvals, ensuring timely payment.RelationshipsWarehouse Coordination: Coordinate with Warehouse staff to receive and release shipments, ensuring smooth operations.Customer Relationships: Maintain excellent working relationships with customers by proactively responding to enquiries in a courteous and efficient manner.Customer Feedback: Report customer feedback to management, including any signs of dissatisfaction, ensuring prompt action.Liaison: Liaise between customer and warehouse in administration of account, ensuring seamless communication.Invoicing and Credit Changes: Liaise between customer and office regarding invoicing and credit changes, ensuring accuracy and timeliness.Clerical ResponsibilitiesSupport and Research: Provide support with other miscellaneous projects, filing, and research, demonstrating versatility.Order Management: Oversee paperwork associated with orders and maintain corresponding files, ensuring accuracy and organization.Procedures Manual: Maintain a current and accurate procedures manual detailing desk side processes, ensuring efficient service.QualificationsEducation and ExperienceEducation: University Degree or equivalent, demonstrating intellectual curiosity and academic achievement.Experience: Minimum 2 years of experience in the distribution department, with a proven track record of success.Inventory Control and Distribution: Previous experience in inventory control and/or distribution operation, with a strong understanding of logistics and supply chain management.Software Proficiency: Fully proficient with various software applications, including MS Word, MS Excel, and any WMS, demonstrating technical expertise.Typing and Data Entry: Typing 30 wpm and 10-key by touch, ensuring efficient data entry and accuracy.Independent Work: Displays ability to work independently with minimal supervision, demonstrating self-motivation and discipline.Communication and Problem-Solving: Proactively communicates and suggests solutions, demonstrating strong interpersonal and problem-solving skills.
