Update the FM Department Procedures document as per requirements given by line manager and section head.Assist the Quality & Support section with implementation of new systems and procedures within the department.Support the section with administrative tasks when required.Coordinate with other Business Units and internal departments on various projects and tasksSupport the team with any additional requirements as per section/department requirements and Manager – Quality & Support directions.Track and monitor the progress of all active FM activities on a daily basis. Update Job Descriptions & Organization ChartPrepare Weekly and monthly work progress presentation to summarize related FM Activities.Plan and schedule meetings to comply with the contractual deliveries and / or adhoc request.Record Minutes of meeting and track progress.Track FM Contracts’ Status and support in drafting SLAs & KPIs.Track regulatory compliance records and notify the Team prior expiry of certification.Assist in the creation of QR when required.Communicate effectively with vendors, contractors, and internal stakeholders.Follow up with Service Providers / Vendors for collection of monthly reports and validation of supporting documents.Track invoice submission and Purchase orders Status related to FM.Maintain accurate records of facility-related activities and documentation.Address and resolve facility-related issues promptly and efficiently.Collaborate with cross-functional teams to support overall business objectives.Keep familiarized with industry trends and implement best practices for facilities management.
