JD for Junior Facilities / Maintenance Coordinator
This position is responsible for assisting in the efficient management of residential properties by proactively coordinating with internal departments (Accounts, Property Management team etc.) and external stakeholders (banks, tenants, service providers etc.) for maintenance of the properties, smooth move-in & move-out process whilst maintaining the highest level of customer service.
Key Responsibilities (but not limited to):
-Facilitate the coordination between tenants and property management team for move-in and move out process and Snagging of units.
-Coordinate between vendors and property management team in order to get quotations approved by landlord and follow up for the vendor payments.
-Communicate with landlords on any maintenance issues faced by particular units.
-Address tenant complaints, violations, and problems.
Establish and maintain relationships with tenants.
-Negotiate lease/contracts with vendors/contractors in a timely and reliable manner.
-Monitor maintenance work conducted at the property and provide necessary feedback to all concerned parties.
-Prepare monthly reports on property management related KPIs (retention rate, occupancy, financial defaults, operational issues/requirements.
-Develop partnerships with vendors (maintenance companies, cleaning companies etc).
-Follow up, address and resolve tenants’ complaints and update the landlords and keep updated records as appropriate.
-Pay attention to details for property snagging process and prepare accurate report for all the properties managed by the company.
Key Requirements
-Minimum of 1 – 2 years’ experience in U.A.E.
-Should have UAE Driving license and personal car.
-Proven work experience in managing Properties (maintenance coordination).
-Fluent English communication skills.
-Competency in MS Office and relevant databases and software
-Customer focus and bottom line orientation
-Interpersonal savvy with strong communication and presentation skills
-Well organized with excellent time management skills
