The Role:

To oversee the administrative activities that facilitate the smooth running of the office, organising people, information and other resources. You’ll ensure that office equipment is maintained to the appropriate quality and quantity, relevant records are up to date and all administrative processes work effectively.

Responsibilities:

  • Manage online employee database systems
  • Develop and implement new administrative systems, such as record management
  • Record office expenditure and manage the budget
  • Organise the office layout and maintain supplies of stationery and equipment
  • Maintain the condition of the office and arrange for necessary repairs
  • Work with the Director of People and Culture on all recruitment of new staff, sometimes including training and induction
  • Post job adverts
  • Prepare and send an official offer email
  • Request references for all new starters and follows up
  • Prep for a new hire: IT setup, access card, Bright HR and a welcome email
  • Orientation for new hires: complete new hire paperwork, collect ID docs, discuss all office policies/procedures, answer questions, office tour
  • Process new hire paperwork and submit to finance
  • Review and update health and safety policies with the Director of People and Culture and ensure they’re observed
  • Check that data protection laws are being adhered to in relation to the storage of data, and review and update policies
  • Arrange regular testing for electrical equipment and safety devices
  • Meet and greet all visitors
  • Answer phone promptly
  • Ensure meeting room is tidy at all times
  • Liaise with building reception in regards to visitors, deliveries and parking requirements
  • Work with property managers to resolve any issues with the office
  • Update and look after Bright HR
  • Look after all HR Admin
  • Organise leavers, birthday and other anniversary cards and gifts
  • Manage kitchen sundries including fresh produce i.e milk, coffee, tea, juice, water etc
  • Collect mail daily and distribute to the appropriate person
  • Work with Immigration Law Group on Visas for staff
  • Special projects and other misc tasks as needed
  • Coordinate/plan all office parties – pick up supplies, set up/clean up, etc
  • Order/pick up lunch for any management meetings, sales training, etc
  • Adhoc support for Chief Executive Officer

Job Type: Full-time

Salary: From AED80,000.00 per year

  • Dubai: Reliably commute or planning to relocate before starting work (Required)
