Currently, we are looking for a Front Desk Officer & Travel Coordinator to join our team in the Dubai office.
Job Description:
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, and forward incoming external calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive daily mails/deliveries and supervise its sorting and distribution
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Ensure employees and all visitors are following COVID SOPs
- Order office supplies and keep inventory of stock
- Day to day calendar management, meetings and conferences
- Meeting Rooms Booking and follow ups
- Incharge of petty cash
- Supervise office Boys and Janitorial Staff
- Liaise with HR department in head office and carry out HR related support work
- Liaise with JAFZA for all visa related issues
- Should be knowledgeable about arranging residence visas for employees and support HR for all these
- Support with travel bookings and hotel bookings
- Maintain confidentiality on all HR matters
Qualification:
- Education: Graduation
- Experience: Minimum 3 years
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
