Rapidly growing commodity trading and asset management business, with offices in 15 countries, is looking to recruit an executive assistant to CEO based in Dubai, in a varied and dynamic role. Responsibilities that include conventional Executive Assistant work, as well as corporate secretarial and investor servicing tasks. Role would support a bright, competent and highly organised individual perhaps with co sec, HR or even legal background who can turn their hand to a number of ad hoc tasks from travel arrangements through to drafting of memos to HR related enquiriesEXECUTIVE ASSISTANT RESPONSIBILITIES› Act as the point of contact among executives, employees, clients and other external partners, but working closely and supporting the CEO in particular› Manage information flow in a timely and accurate manner› Draft, review and send communications on behalf of company executive(s)› Using various software, including word processing, spreadsheets, databases, and presentation software.› Reading and analysing incoming memos, submissions, and distributing them as needed.› Making travel arrangements for executives.› Performing office duties that include ordering supplies and managing a records database.› Experience as a virtual assistant.› Opening, sorting and distributing incoming emails, and other correspondence.› Preparing reports, memos, invoices letters, and other documents.› Filing and retrieving corporate records, documents, and reports.HR › Act as the central coordination point within the team for some HR responsibilities, including VISA related actions in liaison with PRO and UAE related employment issues;EMAIL MANAGEMENT› Monitoring incoming emails as well as providing responses in line with verbal instructions givenCOMPANY SECRETARIAL› Overseeing responses, filings and working with international offices to coordinate resolutions drafting and signatures where needed;SOCIAL MEDIA› Oversight of certain channels, and support in providing / uploading certain content;
Skills
› At least 2 years experience working in an Executive Assistant, para-legal, HR or Company Secretarial area, or similar environment. › Well organised, with the ability to work under pressure and to deadlines. › Very good working knowledge of Word and Excel. › Excellent communication skills, both verbal and written and the ability to work well within a team as well as on own initiative. › The ability to keep clear and concise records and to add value to the Company Secretarial role. › Proven experience as an executive assistant or other relevant administrative support experience.› Ability to organise a daily workload by priorities.› Must be able to meet deadlines in a fast-paced quickly changing environment.› A proactive approach to problem-solving with strong decision-making skills.
