We are seeking a highly organized and efficient Office Manager to support the executive teams of our UAE entities. This position requires exceptional organization and administrative skills, a strong level of critical thinking, and the ability to communicate effectively with the local and international teams. ResponsibilitiesOffice management: maintain a well-organized and efficient office environment in both locations and handle administrative tasks:Optimize workflows and create standard operating procedures (SOPs) for internal processes within the administrative department.Procurement: manage office resources and take charge of office supplies and laboratory supplies orders as per departmental needs and forecasts.Facilities management: manage contracts for office space lease, maintenance, cleaning, etc.Liaise with vendors.Record keeping and definition of proper document filing system.In partnership with accounting, track office expenses and make sure all departments are operating within budgets.Define and manage devices tracking process and coordinate purchasing and repairs.Operational HR:In-house free zone expert (DMCC / DDA) in charge of visa services, official documentation renewal, labour law topics, etc.Coordination and execution of onboarding / offboarding.Recruitment support to hiring managers.Health insurance management.Benefits tracking.Executive assistance:Implementation of internal policies and ensure compliance by team.Coordination of internal events (birthdays, Christmas parties, etc.).Travel arrangements.Company car maintenance and registration.Coordination or management of miscellaneous tasks.QualificationsBachelor’s Degree and/or Secretarial Course.Minimum of 5 years of experience in a similar administrative position.Excellent oral and written skills in English. German-speaking candidates are preferred.
