The Executive Assistant will provide comprehensive administrative support to the Deputy Director General of AGDA, managing a wide range of tasks to ensure smooth operations within the academy’s executive office. This role encompasses a variety of administrative duties, including but not limited to, managing the DDG’s schedule, coordinating meetings and events, handling correspondence, and facilitating effective communication across the academy. The Executive Assistant will play a key role in supporting the DDG’s day-to-day activities, contributing to the efficient management of the office, and ensuring that all administrative tasks are carried out with high attention to detail and professionalism.Key Responsibilities/Duties:Coordinate and execute day-to-day office management tasks to ensure smooth operations.Act as the primary point of contact for incoming queries from internal and external stakeholders.Manage emails, calendars, meetings, travels, bookings, and engagements, adapting to changing priorities and demands.Make travel and accommodation arrangements as necessary, catering to both domestic and international requirements.Take minutes during meetings and ensure proper documentation of discussions.Format information for internal and external communication, including memos, emails, presentations, and reports.Maintain hard-copy and electronic files, ensuring effective document management and retrieval.Support any delegations and business visitors related to the DDG’s office.Oversee office supplies inventory and place orders as needed.Liaise with other departments and teams within AGDA to facilitate effective communication.Coordinate and prepare for high-level meetings and events, including setting agendas and arranging logistics.Prioritize tasks efficiently, demonstrating strong organizational skills.Uphold discretion and confidentiality, adhering to AGDA’s policies and procedures.Occasionally handle personal projects/tasks as required.The role may involve some travel to support the DDG’s activities.Act as a liaison with other organizations and government entities.Education:Bachelor’s Degree in business administration or any other related field.Relevant Experience:Experience working as an Executive Assistant or Personal Assistant to a C-level executive for at least 5 years, preferably with an established international company or governmental body operating in the UAE.Skills:Comfortable and adept at interacting with high-level leadership, demonstrating professionalism and poise in all interactions.Excellent verbal and written communication skills, with the ability to convey complex information clearly and persuasively.Superior interpersonal skills, evidenced by the capacity to build professional relationships at all organizational levels and with relevant external stakeholders.Highly developed organizational, administrative, and presentation skills, ensuring efficient and effective management of diverse tasks.A high degree of computer literacy, with proven ability to incorporate technology effectively in the work environment.Ability to work independently, demonstrating initiative and self-direction.Flexible, hardworking, and adaptable, capable of adjusting to changing priorities and demands.Willing to maintain open communication seven days a week with a flexible schedule to accommodate varying needs.Fluency in English and Arabic is essential, enabling effective communication in a diverse, multilingual environment.
