Job description

The Leasing Senior Executive assists in supporting the Leasing and Community Relations aspects of leasing documentation, reports, invoices, presentations and collections geared towards increasing Alserkal’s profitability.

The role is responsible for ensuring that all enquiries and administrative requirements related to Leasing are addressed at the highest quality.

This full-time position reports to the Leasing Manager.

Responsibilities include:

  • Primary custodian of the leasing CRM (Salesforce) to ensure the system is 100% updated with 100% accuracy at all times, This is a critical element of the role to ensure the rental data is input methodically and punctually as the system is integrated with the company ERP (SAGE) and financial reporting integrity must to be maintained at all times,

  • Maintain and create documents in Salesforce, which consist primarily of leases, addendums, takeover and pop-up agreements, offer letters, and pro forma invoices.

  • Create Salesforce dashboards with daily, weekly, monthly, quarterly, and annual performance reports, including lease renewals, vacancy/occupancy, outstanding payments, and expiring leasing documents.

  • Support Community Relations, Leasing, and Facilities Director/Managers in controlling and maintaining all related documentation to Alserkal Avenue and Alserkal Avenue tenants, including:
    o Ensuring that all required forms are on file, signed, stamped and countersigned, and up to date
    o Copies of PDCs o Trade licenses o VAT certificates o Passport
    o Visa
    o Emirates IDo Ejari
    o Business insurance policy
    o Fire safety documents
    o Work requests forms
    o Frequent vendor information

    o Permits
    o License
    o Insurance validation

  • Develop and maintain good working relationships with tenants, internal managers, and team members.

  • Manage forecasting of leasing revenue and collections. This role requires very close coordination with Finance to ensure the forecasts are updated on a weekly basis.

  • Support managing, approving, and complying with leasing-related accounting, invoices, cheques, vendor relations, procurement procedures, etc.

  • Ensure the company ERP is used for procurement (issuance of PRs/ POs/GSRs) in a timely manner and always in compliance with company procedures.

  • Management of petty cash if required, in compliance with company policy.

  • Liaise with Alserkal Avenue community members to support any required documentation such as permits and NOCs required by government entities such as DM, DEWA, CD, etc.

  • Ensure compliance with Alserkal Avenue’s internal policies and criteria (Community Handbook) to review, update and revise as necessary.

  • Support with periodic (weekly/monthly/quarterly/bi-annual/annual) reports and analyses of Alserkal Avenue warehouses; ensure the warehouse management system and other systems of record are current and accurate.

  • Ensure renewals, addendums, MoUs, and any other documentation are completed on time and correctly filed

  • Preparing Leasing and Community Relations presentations for the team.

  • Raise and reconcile payments in the financial system for the team.

  • Work closely with the Facilities team to ensure that site checks are carried out and that document and financial checklists are completed during move-in and move-out, handover from the Avenue to tenants, and vice versa.

  • Coordinating with the Facilities team regarding the distribution and collection of space permits.

  • Suggesting and implementing alternative ways and new systems to enhance the Avenue’s leasing and facilities operations.

  • Respond to all incoming event inquires in a timely manner (via phone call, email or in person)

  • Ensure all commercial leasing leads are logged onto Salesforce/ CRM system Required skills + experience


Required skills + experience

  • 4 years’ experience in a fast-paced, high-volume environment in a related field
  • Educated to a Bachelor’s degree level or equivalent and holding relevant professional
  • Knowledge in Salesforce, and database management, as well as strong Microsoft Office product knowledge, with an excellent handle on Excel.
  • Well-developed time management skills including the ability to identify, prioritize and complete tasks and projects in an effective and timely manner.
  • Attention to detail is a must, both in terms of documentation management as well as handling financial data.
  • Excellent organisational and administrative skills
  • Excellent budget-keeping and reporting skills
  • Excellent writing and verbal communication skills
  • Excellent interpersonal skills and ability to work effectively as part of a team
  • Self-motivated, with the ability to work within an ambiguous constantly changing environment


Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, from 10am to 6pm. Saturdays, Sundays and overtime might be required during intense periods and/or during special projects and events.
