Zayed National Museum, the national museum of the UAE, will narrate the rich history of the land and the region and tell the story of the late Sheikh Zayed bin Sultan Al Nahyan, his unification of the United Arab Emirates and the UAE’s long-standing cultural connections across the world.Designed by Pritzker Prize-winning architect Lord Norman Foster, the museum was founded in the spirit of Sheikh Zayed’s work and strongly held values, which encompassed a passionate belief in education, conservation, environment, sustainability, heritage, and culture all underpinned by his humanitarianism and strong faith.Zayed National Museum will hold in trust a collection of art and artefacts from the ancient and living cultures of the UAE, Arabia, and the broader Middle East. It will also be the primary institution in the UAE to display material related to the life and achievements of the late Sheikh Zayed.A centre of learning and discussion, the museum will actively research the UAE’s history and culture through archaeological fieldwork, archive research and the gathering of oral histories.Job PurposeThe Bookings Specialist is a key member of Learning and Public Engagement operations, ensuring a smooth visitor experience before, during, and after our audiences take part in pre-booked programmes. With a special focus on school programme bookings, this position will ensure that behind the scenes scheduling of schools, teachers, staff, and volunteers is well organised and efficient. The position will also support the daily operations, especially as school groups are arriving. Post-visit surveys and communications will also be undertaken. Bookings for workshops, events, and other programming will also be comprehensively managed by the Bookings Specialist. ResponsibilitiesManage, oversee, and communicate all bookings for LPE activities, especially school programmes. Liaise with teachers, school administrators, DCT Education team, and other Saadiyat museums to maximize efficiencies in school programme bookings. Provide pre-visit information to each teacher and ensure they have everything they need for their visit. Be present on the ground during school programme arrivals and support the logistics of school programme arrivals. As needed, be present during workshop, guided tour, or other pre-booked activities’ arrivals. Produce daily and weekly info sheets of bookings and ensure all staff and volunteers who require the information have received it on time. Regularly liaise with colleagues across the department, especially in School Programmes, Interpretation, and Public Events. Coordinate and manage room bookings for LPE programming.Administer and organise post-visit surveys and communications.Prepare and produce reports on bookings as required.Facilitate the administrative functioning of the department with finance and procurement system support such as (but not limited to) processing invoices for pre-booked programmes, creating PO numbers, and liaising with other support services and operations functions.Requirements: Bachelor’s degree in Business Studies, IT, Administration / Secretarial Studies.Minimum of 1 years of experience with previous experience in providing administrative support to a large section or department.Strong proven MS Office skills specifically Outlook, Excel, Word, and PowerPoint.Experience with other software such as CRM, scheduling, booking or ticketing systems.English & Arabic fluency, spoken & written.Experience in preparing reports and high-level power-point presentations.Ability to manage multiple tasks, and deadlines at the same time and creative solutions.
